We are looking for a dedicated Administrative Coordinator like you to be a part of our team.</p> <p>Job Summary and Qualifications</p> <p>As Administrative Coordinator, you will provide administrative support to the Vice Presidents in Ethics and Compliance, including but not limited to scheduling and coordinating meetings, phone calls, and business-related travel and events, preparing and submitting expense reports, and drafting or editing various types of correspondence, presentations and meeting materials and performing other administrative support services.</p> <p>Job Responsibilities:</p> <ul> <li>Provides administrative support for the Vice Presidents in Ethics and Compliance. </li><li>Prepares and edits correspondence, presentation materials, Excel spreadsheets, charts, graphs and other materials for training, data analytics, presentations and meetings, as requested. </li><li>Prepares professional PowerPoint presentations in brand-compliant format specific to audiences and content. </li><li>Provides project management for vice presidents and planning and preparation for internal projects and colleague events </li><li>Exhibits proficiency in or an ability to master the use of case management databases, systems, software, including but not limited to AI software for creating efficiencies for use cases relevant to the Ethics and Compliance Program and workflows (e.g., Microsoft CoPilot and Open AI ChatGPT). </li><li>Organizes and hosts in-person meetings including but not limited to New Ethics and Compliance Officer (ECO)Orientation, Department Meetings and Division ECO Meetings, etc., coordinating all logistics, meals and activities associated with such events. </li><li>Exhibits proficiency in data analysis and visibility tools for presentations, reporting and monitoring of data </li><li>Schedules and coordinates conference calls and meetings, whether in-person or virtual. </li><li>Organizes documents and other materials for meetings, conference calls, training sessions and business-related events and travel. </li><li>Coordinates and schedules travel, lodging, transportation and other logistics, as needed, for business-related travel. </li><li>Prepares and submits expense reports in accordance with Company's business travel policies and processes. </li><li>Processes invoices from contractors, vendors, suppliers for payment through AP processes. </li><li>Manages daily calendars for efficient and effective time management. </li><li>Tracks and orders office supplies through approved vendors. </li><li>Ensures renewal of professional licenses association memberships and, as directed. </li><li>Maintains hardcopy and electronic filing systems. </li><li>Maintains department records in hardcopy and/or electronic format, as directed, in accordance with retention policies and processes. Serves as department's records coordinator. </li><li>Communicates and interacts with colleagues throughout the enterprise and external stakeholders in a positive, respectful and professional manner. </li><li>Answers office phones, as directed. </li><li>Assists with onboarding new hires or contract colleagues </li></ul> <p>Job Requirements:</p> <ul> <li>High School Graduate/Equivalent is required </li><li>Associate's degree or higher is preferred </li><li>3+ years of experience in administrative support is required </li><li>1+ year(s) of experience in HTML coding is preferred </li><li>Highly proficient in Word, Excel, PowerPoint and database management systems is required </li><li>Excellent written and verbal communication skills are required </li><li>Excellent organization skills are required </li><li>Ability to work independently is required </li><li>Strong grammatical and typing skills are required </li><li>Excellent customer service and interpersonal skills are required </li><li>Involves occasional lifting of boxes and supplies </li></ul> <p>HCA Healthcare (Corporate), based in Nashville, Tennessee, supports a variety of corporate roles from business operations to administrative positions.
