<p>The Church History Department of The Church of Jesus Christ of Latter-day Saints is seeking a dynamic and experienced Administrative Assistant to assist in the work of salvation and exaltation by providing senior-level support to the historic sites division. This individual will help support the work of documenting, preserving, operating, and sharing the sacred sites of the Restoration so they can bear witness to the world that God has restored His Church and Kingdom in the last days.</p> <p>This role plays a vital part in supporting the Church's mission by ensuring smooth operations, coordinating projects, and managing complex administrative tasks with professionalism and discretion. Employees at this level work under minimal supervision and handle complex issues and problems that require comprehensive working knowledge and independent non-routine decision making using initiative, originality, ingenuity, and sound judgment.</p> <p>This is a full-time position located in the Church History Library in Salt Lake City. The Administrative Assistant for the historic sites division works daily with leaders, staff, and missionaries across the Church's thirty historic sites.</p> <p>Typical responsibilities include but are not limited to:</p> <ul> <li>Leading lower level employees through training, mentorship and/or day to day direction </li><li>Proactively anticipating future needs and making recommendations </li><li>Assisting project teams by coordinating project details and following up on pending needs to ensure that deadlines are met </li><li>Assisting with budget preparation and control activities including monitoring project or department/area budgets </li><li>Performing research, analyzing information, and making recommendations based on findings </li><li>Compiling complex data/information from a variety of sources to prepare memos, documents, reports, spreadsheets (including charts and graphs), and presentations using a wide range of software and platforms. </li><li>Taking meeting minutes and managing meeting documentation </li><li>Using computer apps and software to schedule meetings and appointments and maintain calendars - usually for multiple leaders </li><li>Managing email in-box(es) of assigned leader(s) to agreed level </li><li>Making travel arrangements </li><li>Presenting at meetings </li><li>Supporting office resiliency operations and response (emergency response) </li><li>Planning, organizing, and executing large meetings, conferences, and other events </li><li>Answering complex telephone and email requests </li></ul> <p>Required:</p> <ul> <li>High School Diploma or equivalent </li><li>4 years administrative or related experience </li><li>Comprehensive administrative support working knowledge </li></ul> <p>Key Skills include the ability to:</p> <ul> <li>Communicate professionally in writing and verbally. </li><li>Utilize Microsoft Office and other software at an advanced level to schedule appointments, create and perform analysis on spreadsheets, prepare presentations, take notes and minutes, and create and update word documents. </li><li>Provide advanced research, analytical, and data summation support. </li><li>Proactively anticipate needs and think strategically </li><li>Take standard processes and procedures and adapt to address complex problems and find less obvious solutions </li><li>Problem solve and resolve complex conflict and problems through sound decision making </li><li>Organize and prioritize work and needs </li><li>Coordinate projects and events effectively </li><li>Operate and maintain standard office equipment. </li><li>Interact and work with others in a productive and professional way. </li><li>Work with discretion, confidentiality, and integrity </li><li>Train, mentor, and lead the work of others </li><li>To successfully perform the essential functions of the job there may be physical requirements which need to be met such as sitting for long periods of time, moving about the office to deliver mail and other items, and using computer monitors/equipment. </li></ul> <p>Preferred:</p> <ul> <li>Bachelor's Degree </li><li>Broad knowledge of the organization's structure, functions, and key personnel </li></ul>
