<p>FAMILY ADVOCATE</p> <p>Head Start Manager</p> <p>10-month position with benefits</p> <p>General Statement of Job</p> <p>Under the supervision of the Family & Community Partnership Manager, the duties of the Family Advocate are non-instructional and involve working with families. Responsibilities are generally supportive in nature and include but not limited to:</p> <p>Advocacy & Community Resource referrals</p> <p>Family Education & Training</p> <p>Home Visiting</p> <p>Record Keeping</p> <p>Monitoring Child Attendance & Student Success Plans</p> <p>Community Outreach & Community Partnership Building</p> <p>Family & Program Meetings</p> <p>Child Applications & Enrollments</p> <p>In-Kind Assistance</p> <p>Assisting in Recruitment Efforts and Events</p> <p>Desire for professional growth</p> <p>Required qualifications</p> <ul> <li>Must have a high school diploma or GED. </li><li>Must have an associate degree, preferably in social work, human services, counseling, or a related discipline. </li><li>Must hold a certification/credential in social work, human services, family services, counseling, or a related field within 18 months of employment. </li></ul> <p>Essential duties and responsibilities</p> <ul> <li>Assist families during the recruitment, application and enrollment process. </li><li>Supports families in identifying goals and needs; tracks and records their progress through the Family Partnership Agreement process in a timely manner. All assistance and referrals provided to the families are documented in Child Plus. </li><li>Completes Family Outcomes (Families Needs Assessments) three times per year. </li><li>Supports families in identifying their needs and obtaining the necessary services. </li><li>Assists in securing and providing crisis intervention for families when needed. </li><li>Help in promoting regular attendance of enrolled children. Aids in tracking the 85 Average Daily Attendance requirements for their assigned families. Initiates and monitors student success plans as necessary for children facing attendance challenges. </li><li>Collaborate with families to assure the fullest possible participation in volunteering and all program activities. Actively invites and encourages parents to attend all parent committee meetings, training sessions, events, etc. Promotes male engagement in all aspects of the program. </li><li>Teaches the Parent Curriculum to parents according to schedule, as assigned. </li><li>Participates in all Parent Committee meetings and takes the lead as assigned. Assists with the setup and cleanup for the meetings. Completes other duties as assigned. </li><li>Conducts parent training as needed/assigned. </li><li>Checks children's attendance daily in Child Plus and calls parents to check on absences if there is no reason documented for the absence. </li><li>Assures daily contact has been made with the family by a staff member if a child is absent. If a family cannot be contacted, then ensure to document attempts in Child Plus. A home visit will be made on the 3rd day if there has been no family contact for 3 consecutive days. </li><li>When checking attendance, ensure that absences are correctly categorized as excused or unexcused according to the reason of absence. </li><li>Checks Sign in/out in Child Plus at the end of the day to make sure that no sign in/out was missing. </li><li>Collect doctor's notes, document them in Child Plus, scan and upload them under the attendance tab and label the attachment: Dr note and the date. Ex. Dr Note 9/18/2025 </li><li>Maintains accurate, legible, and professional records of family contacts. </li><li>Maintains a family folder containing any doctor's notes, parent communications, and other relevant forms as necessary. Scan documents and upload them to Child Plus. </li><li>Document family contacts in a timely manner. Family contacts must be entered into Child Plus by the 15th of the following month. </li><li>Utilize Child Plus to capture comprehensive information about the family, which will aid in their success and ensure that we collect all essential details for the PIR. Ensures all PIR information for the family is entered into Child Plus. </li><li>Assist families with requests and changes related to bus transportation. Communicate with the Bus Coordinator to facilitate these changes. Ensures that Bus Staff and Classroom Teachers have the necessary paperwork that reflects the most up to date transportation arrangements before they start. </li><li>Works with the Health Services Manager to help arrange transportation for parents and enrolled children scheduled for health appointments. </li><li>Assists with transportation (when approved) to access other necessary services. </li></ul> <p>Additional duties</p> <ul> <li>Performs other related tasks as assigned by the Family & Community Partnerships Manager. </li><li>To maintain the child-to-staff ratio mandated by NC daycare licensing laws, you may be asked to help in a classroom and directly engage with children if we are short-staffed. </li><li>Responsible for helping with car riders every day, which will involve working with children. </li></ul> <p>Essential knowledge and abilities</p> <ul> <li>Work effectively with community partners in securing services for Head Start Families. </li><li>Represents Head Start in collaborative efforts when requested. </li><li>Supports the establishment and renewal process of Community Partnership Agreements as assigned. </li><li>Accept supervision with a positive attitude and can work both cooperatively and independently. </li><li>Fosters cooperative and good working relationships with the program. </li><li>Provides occasional support when requested to ensure ongoing program operations. </li><li>Present during pre-service to other staff as it relates to their position. </li><li>Adheres to professional ethics and standards. Does not discuss children or families with other staff members, in front of children, or outside the program. </li><li>Is present and punctual and adheres to an established work schedule. Contact the supervisor as soon as possible when absence or tardiness is necessary. </li><li>Participates in opportunities for professional development, including attending staff meetings and local training. </li><li>Submits neat, accurate, and punctual program paperwork. </li><li>Always maintains a professional attitude towards families, co-workers, and supervisor. </li><li>Notify supervisor when you leave or return to the school or go on a home visit to ensure they are aware of your location, which is crucial in case of an emergency requiring evacuation and accountability of all employees. </li></ul> <p>Physical/Mental Abilities</p> <ul> <li>Frequent significant decisions to assure developmental progress of children. </li><li>Demonstrated ability to supervise preschool children and ensure a safe learning environment including the ability to monitor and respond to events going on at all times in the classroom, outdoor play areas and other areas in the school setting. This includes the physical ability to move quickly to respond to children who are very active and may need redirection in order to ensure their safety or the safety of others in the environment. </li><li>Ability to respond appropriately (both mentally and physically) to an emergency or a crisis situation. </li><li>Ability to lift up to 50 pounds. </li><li>Interact with children inside and outside in gross motor activities; stand for extended periods of time to monitor children; participate in floor activities with children; walk up and down stairs; sweep, mop, vacuum floors and clean bathrooms as needed. </li><li>Must provide an annual staff health/medical report completed by a physician stating that ALL physical/mental requirements can be met at all times. </li></ul> <p>The abilities described here are representative of those an employee encounters while performing the essential functions of this job.
