<p>NIU Naperville serves as both an academic extension center and a non-residential conference facility, hosting conferences, meetings, and special events, as well as credit and non-credit professional education during the day and evenings Monday through Saturday, and occasionally on Sundays.</p> <p>Position Summary</p> <p>Under the direct supervision of the Facilities Manager. The Facility Operations Staff Member plays a key role in ensuring the smooth operation of the center by supporting conference setups, custodial services, and light building maintenance/repair. This position requires a mature, dependable individual with strong communication skills, sound judgment, and the ability to work independently with minimal supervision.</p> <p>Essential Duties and Responsibilities</p> <p>Conferencing & Event Support - 30%</p> <ul> <li>Set up and break down rooms, furniture, and equipment for classes, meetings, and special events. </li><li>Coordinate with conferencing staff to ensure spaces are arranged according to event specifications, verify that all equipment is functioning properly, and assist with any on-site adjustments to support smooth operations and a positive experience for attendees. </li></ul> <p>Facility Operations & Maintenance - 30%</p> <ul> <li>Provide light building maintenance and repair services, maintain building and janitorial equipment, and address basic building issues. </li><li>Report work and problems using the Naperville maintenance application. </li><li>Monitor facility conditions, address or report safety hazards, and ensure compliance with building safety standards. </li></ul> <p>Facility Cleanliness - 20%</p> <ul> <li>Perform custodial duties to maintain a clean, safe, and welcoming environment throughout the facility. This includes routine cleaning of offices, classrooms, and common areas, restocking supplies, addressing spills or hazards promptly, and ensuring all spaces meet health and safety standards. </li></ul> <p>Audio/Visual & IT Support - 5%</p> <ul> <li>Provide basic audio/visual and technical assistance for faculty, students, and event clients. This includes setting up and testing equipment, troubleshooting minor technical issues, supporting presentations and recordings, and ensuring that all AV systems function smoothly to support effective teaching, learning, and events. </li></ul> <p>Facility Conference Operations - 5%</p> <ul> <li>Assist with catering setups and coordination for on-site events and external clients. This includes arranging tables and serving areas, ensuring food and beverage service runs smoothly, coordinating with catering staff, and supporting event logistics to provide a seamless experience for attendees. </li></ul> <p>Front Desk Support - 5%</p> <ul> <li>Provide occasional front desk support, offering general information and contact details to prospective students regarding off-campus courses and services. </li><li>Respond promptly and professionally to facility- and event-related inquiries, directing questions as needed to ensure smooth operations and a positive experience for all visitors. </li></ul> <p>Duties as assigned - 5%</p> <ul> <li>Other duties as assigned. </li></ul> <p>Minimum Required Qualifications (Civil Service)</p> <ul> <li> <p>High School Diploma or equivalent.</p> </li><li> <p>Any one or combination totaling two (2) years (24 months) from the categories below:</p> </li><li> <p>College course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:</p> </li><li> <p>60 semester hours or an Associate's Degree equals one (1) year (12 months)</p> </li><li> <p>Training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.</p> </li><li> <p>Work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.</p> </li></ul> <p>Knowledge, Skills, and Abilities (KSAs) (Civil Service)</p> <ul> <li>Knowledge of principles and processes for providing customer service. </li><li>Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications, as needed. </li><li>Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, data entry, designing forms, and other office procedures and terminology. </li><li>Knowledge of electronic equipment, computer hardware and software, and their applications. </li><li>Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources. </li><li>Ability to identify complex problems and review related information to develop and evaluate options and implement solutions. </li><li>Ability to understand implications of new information for both current and future problem-solving and decision-making. </li><li>Ability to exhibit strong organizational skills and maintain detailed, accurate records. </li><li>Ability to communicate effectively as appropriate for the needs of the audience. </li><li>Ability to interpret work related documents, policies, and procedures. </li></ul> <p>Specialty Factors (Civil Service)</p> <p>None</p> <p>Preferred Qualifications (Civil Service)</p> <ul> <li>2 years of Conference or Hotel experiance. </li><li>Customer service </li><li>Basic Building systems and repair ability. </li><li>Computer experience helpful </li><li>Knowledge of current practices and emerging trends in faculty needs, academic technologies, and related support is required for Custodial, and light maintenance. </li><li>Excellent written and oral communication skills, planning and organizational abilities, problem-solving skills, and the ability to work collaboratively and collegially are required. </li><li>Mjust be calm under pressure, and able to prioritise the day. </li></ul> <p>Minimum Required Qualifications (SPS)</p> <p>N/A</p> <p>Additional Requirements (SPS)</p> <p>N/A</p> <p>Preferred Qualifications (SPS)</p> <p>N/A</p> <p>Physical demands/requirements</p> <ul> <li>Ability to lift and move up to 50 lbs. for furniture and equipment setups. </li><li>Ability to stand, walk, bend, and perform physical tasks for extended periods. </li></ul>
