<p>Description</p> <p>Administrative Assistant II</p> <p>Job Description</p> <p>Title: Administrative Assistant II</p> <p>Pay: $21.00-$24.00/hour DOE</p> <p>FTE: 0.5 (20 hours per week, or part-time)</p> <p>Estimated Start Date: April 16th, 2026.</p> <p>Position Overview: This position supports daily administrative operations, including accounts receivable, monthly financials reporting, as well as some scheduling, and routine correspondence. The Administrative Assistant coordinates tasks to help the organization and programs run efficiently and smoothly. The Administrative Assistant will maintain a consistent schedule of tasks associated with reporting, invoicing, and compliance. This position is deadline-driven, and requires a high level of attention to detail.</p> <p>Required Skills and Abilities:</p> <ul> <li>Attention to detail, excellent time management, and respect for deadlines. </li><li>Ability to maintain professional boundaries and confidentiality. </li><li>Strong understanding of file management, Microsoft Word and Excel, and Google Office. </li><li>General understanding of broad financial, programmatic, and organizational processes. </li><li>Ability to work effectively with staff and community. </li><li>Ability to communicate effectively, both orally and in writing. </li><li>Ability to maintain professional boundaries and confidentiality. </li><li>Ability to consistently attend and be punctual for work commitments and be in a condition suitable for assuming responsibilities of position. </li><li>Sufficient manual/physical dexterity to allow for performance of routine office functions such as phone use, computer use, filing, and copying. No lifting above 20 pounds is required. </li></ul> <p>Duties and Responsibilities:</p> <p>As an employee of OVG, duties include modeling and encouraging honest and respectful communication with all members of the organization and community. It is everyone's responsibility to actively contribute to a supportive work environment.</p> <p>Accounts Payable</p> <ul> <li>Scanning and coding invoices from all organizational accounts. </li><li>Cross checking vendor statements and other documents for accuracy. </li><li>Using Bill.com to code invoices and prepare online bill payments. </li><li>Problem-solve with managers and book-keeper any unknown expenses or other issues. </li></ul> <p>General Administration</p> <ul> <li>Taking meeting/committee minutes and effectively communicating with Staff and Board as directed for project action items. </li><li>Conducting basic correspondence with community partners, and contractors. </li><li>Conducting inventory, ordering and distributing for office supplies. </li><li>Managing the hard-copy organizational filing system. </li><li>Other administrative tasks as assigned by the Directors, on a project-basis. </li></ul> <p>Monthly Financial Reports and Bookkeeping</p> <ul> <li>Credit Card Reconciliation </li><li>Generate Third Party Reports (Citimerchant, SuperValu, Stripe, etc.) </li><li>Monthly Village Market Reports (ENCOR) </li><li>Bookkeeping support (ie deposit documentation). </li></ul> <p>Safety Committee</p> <ul> <li>Support committee members by sending out notes, action items. </li><li>Ensure all staff are compliant with required safety trainings. </li><li>Ensure all worksites are compliant with quarterly walk-throughs with committee. </li><li>Maintain all worksite safety boards and safety-related materials. </li></ul> <p>Working Conditions:</p> <ul> <li>Follow a regular posted work schedule to accomplish work duties, be responsive to specific activities and staff, and community needs. May require adjustments to schedule based on training events and other circumstances. </li><li>Work is generally conducted in an office setting.
