<p>The Document Control Administrator is responsible for managing, maintaining, and ensuring accuracy and accessibility of project deliverables. They will be an essential part of the project support team. This person will be responsible for assembling and formatting project deliverables and distributing them to clients, vendors, and contractors. They will provide administrative support to design teams, Project Managers (PMs), quality, and other senior staff.</p> <p>Essential Duties and Responsibilities</p> <ul> <li>Coordinate, receive, process, and distribute architectural, engineering, and construction documentation such as drawings, specifications, data sheets, construction submittals, RFIs, and other documents through all phases of design and construction. </li><li>Schedule and coordinate deliverable workflow between concurrent projects. </li><li>Provide support for project set up, including setting up file transfer sites such as Procore or other collaboration platforms. </li><li>Initiate communication and coordinate architectural and engineering (A/E) design packages with PMs to review composition and timing of deliverables and maintain deliverable tracker on a regular basis. </li><li>Assist PMs and project team with administrative tasks such as scheduling meetings, formatting documents to company standards, and preparing meeting minutes. </li><li>Set up, assemble, and format A&E reports and attachments including combining multiple documents in Bluebeam Revu software. </li><li>Organize permit sets by assembling electronic and hard copies and assuring inclusion of appropriate A/E stamped drawings, affidavits, and other documents as required. </li><li>Ensure proper revision control through organizing and tracking deliverables and reconciling discrepancies. </li><li>Prepare specification and drawing lists of files issued with deliverable packages. </li><li>Proof, edit, and format documents, presentations, and spreadsheets in adherence to industry and company standards and guidelines. </li><li>Upload packages to file transfer sites and communicate with clients to assure receipt of files. </li><li>Maintain electronic stick set for active projects. </li><li>Archive documents for long-term storage and adhering to retention policies. </li><li>Manage and expedite submittal and RFI workflow which includes receiving, maintaining a tracker, organizing file set up, ensuring submittals are routed to appropriate disciplines, setting up studio sessions, and collaborating with project team to return in a timely manner. </li></ul> <p>Skills & Qualifications</p> <ul> <li>3+ years of related experience. </li><li>Associate degree or greater preferred. </li><li>Previous document control experience within the architectural, engineering, and/or construction industry preferred. </li><li>Excellent verbal, written, and communications skills. </li><li>Intermediate experience with MS Office Suite preferred. Knowledge and skill with formatting in MS Word and MS Excel highly preferred. </li><li>Experience with Procore & Bluebeam Revu preferred. </li><li>Proactive, detail oriented, deadline driven in completing tasks and meeting deadlines. </li><li>Strongly motivated, well organized, and shows professional initiative. </li><li>Ability to juggle multiple requests and determine prioritization. </li></ul> <p>#LI-JT1</p>
