<p>Job Summary:</p> <p>Under general supervision, responsible for management, maintenance, and dissemination of police records and documentation in accordance with legal regulations and departmental policies. This position emphasizes the accuracy, confidentiality, and timely processing of various reports, documents, and systems related to law enforcement activities.</p> <p>Major Responsibilities:</p> <p>Records Management: Receives, reviews, and processes police reports. Ensures accuracy and completeness of data entered in the Records Management System (RMS-Spillman). Maintains both physical and electronic records and ensures proper organization and storage. Data Entry and Maintenance: Inputs, updates, and retrieves data in the RMS and databases while adhering to departmental protocols. Conducts regular audits and quality control checks to ensure data integrity and compliance with state and federal laws. Public Information Requests: Responds to inquiries and processes public record requests per Open Records Statutes. Customer Service: Provides excellent customer service to visitors seeking assistance or information regarding police records and services. Backup Support: Provides backup support to the Police Operations Administrator. Performs other duties as assigned, including assisting other departments as required.</p> <p>Minimum Qualifications & Required Knowledge:</p> <p>High School Diploma or General Education Degree (GED) One (1) to three (3) years of experience working with Office Suite software One (1) to three (3) years of experience working with police specialized software (Spillman preferred) One (1) year of experience as an office assistant or customer service representative Incident Based Reporting (IBR) training within one (1) year of hire Valid Oklahoma Class D Driver License Knowledge of modern office practices and procedures Knowledge of city and department policies and procedures Knowledge of correct grammar and usage Skill in the use of computers and various software programs Skill in the operation of modern office equipment Skill in oral and written communication Ability to work well with others in a team environment Ability to interpret policies, procedures, and union contracts Ability to maintain confidentiality</p> <p>Competitive Benefits Package</p> <p>11 paid holidays per year 10 paid sick leave days per year 10 paid vacation leave days per year (increases with years of service - up to 20 days) 2 fitness facilities for employees Pension plan Longevity Pay Employee Assistance Program Short/Long Term Disability Basic Life & AD&D Employee-Only Dental (Employer pays a portion of Dental Family) 3 Healthcare Plans - Employer pays 75% of the base plan premium or the base plan equivalent for the other tiers Case Community Center membership Discounted fishing pass at Shell Lake Discounted golf at Canyons at Blackjack Ridge Utility discount for employees who live within the Sand Springs water district.
