<p>The office coordinator serves as the initial departmental representative to incoming constituencies and handles a variety of tasks providing operational support and general assistance to students, faculty, and staff. The office coordinator is present in the office to provide services to campus constituents. This position is 40 hours per week for 39 weeks during the Academic Year (.75 FTE).</p> <p>This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.</p> <p>Education and Experience</p> <ul> <li>High School Diploma with 3+ years' experience. </li><li>Associate's degree or equivalent preferred, plus 2-4 years office experience preferably in an academic environment. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Solid understanding of Microsoft Office and Adobe Professional suite, with the ability to create and revise documents. </li><li>Good oral and written communication skills. </li><li>Solid interpersonal skills. </li><li>Good organizational skills, and the ability to multi-task in a fast-pace professional environment. </li><li>Ability to maintain a high level of confidentiality with sensitive information. </li><li>Knowledge of PeopleSoft or related system is preferred but not required. </li></ul> <p>Responsibilities</p> <p>Administrative and Operational Support</p> <ul> <li>Be present in the office to serve as initial departmental representative to incoming constituencies as appropriate. Perform customer service duties by providing general information. </li><li>Serve as primary administrative support for Chair. Maintain departmental files and documentation. </li><li>Provide general office support for department. Provide back up of time entry processes. </li><li>Manage and coordinate departmental calendars, schedules, room reservations, and appointments. </li><li>Monitor and purchase supplies for office, completing necessary transactions for purchases; manage copier maintenance and upkeep; report building issues and request maintenance. </li><li>Utilize BOSS system to provide building access. </li><li>Adapt and retool as campus business processes develop over time and, as a result, assignments are reviewed and revised. </li><li>Monitor and respond to lll@syr.edu inbox. </li><li>Train, supervise, and provide evaluative feedback for student employees. </li></ul> <p>Events and Outreach</p> <ul> <li>Prepare and edit correspondence, coordinate mailings, and manage department listservs. </li><li>Maintain and update department bulletin board. Submit updates for the department's website to College web team. Maintain and update the department's digital monitor to post only recent and relevant news about curricular offerings and departmental and College events. </li><li>Organize and attend all department academic and cultural events: create fliers, post to SU calendar, advertise within and outside department, gather materials and coordinate event participation among LLL programs. Set up for events, attend these to replenish supplies and staff tables, and clean up following events. </li><li>Provide support to faculty for graduate student events and student groups. </li><li>Update and organize departmental brochures for each LLL program for use at College and University-wide events. </li></ul> <p>Curricular Support</p> <ul> <li>Coordinate processing of academic forms including student petitions, independent study forms, Major/Minor intake and declarations. </li><li>Using online ticketing software, manage the placement exam process for all languages, providing students access to placement exams and placing students in appropriate student groups for registration. </li><li>Coordinate student course evaluation process. </li><li>Serve as back up for Academic Support Coordinator and Budget Support Associate. </li><li>Assist as needed with entering course schedules into the system, confirming classes each term, and verifying accurate posting of course-related information to MySlice. </li><li>Monitor enrollment, identify potential enrollment issues for supervisor review, and provide registration support to students. </li><li>Maintain knowledge of and provide support to faculty, staff and students for PeopleSoft, MySlice, OnBase, Blackboard, and class scheduling/class enrollment/curriculum procedures. </li><li>Assist BSA with faculty credit card reconciliations and travel and expense reimbursement requests by entering requests into the system for BSA review and approval. </li><li>Other duties as assigned. </li></ul> <p>Physical Requirements</p> <p>Not Applicable</p> <p>Tools/Equipment</p> <p>Not Applicable</p> <p>Application Instructions</p> <p>In addition to completing an online application, please attach a resume and cover letter.</p>
