<p>Job Summary:</p> <p>Provides legal secretarial support to Division staff, performing highly responsible and confidential secretarial duties and administrative functions. This role requires strong organizational skills, attention to detail, and the ability to work independently while supporting attorneys and staff.</p> <p>Minimum Qualifications:</p> <ul> <li>Experience: At least two (2) years of professional office clerical experience. </li></ul> <p>Background Check: Due to the nature of the position, applicants must pass an initial criminal background check, as well as every two years thereafter, and continuously meet the Bureau of Criminal Information (BCI) requirements.</p> <p>Essential Functions:</p> <ul> <li>Drafts service contracts for attorneys' client agencies. </li><li>Prepares documents using written copy, transcription equipment, shorthand, or other tools. Files and distributes documents appropriately. </li><li>Prepares travel/training requests and assists in scheduling appointments for attorneys. </li><li>Composes correspondence and ensures signatures are obtained for distribution. </li><li>Manages case files (electronic and hard copy), including reviewing, analyzing, and preparing legal documents for attorney review. </li><li>Coordinates inquiries regarding case status with other office divisions, County departments, state agencies, law enforcement, and courts. </li><li>Prepares legal documents for case processing and transcribes charges using county ordinances, state criminal codes, and other legal references. </li><li>Maintains daily and weekly calendars for attorneys, coordinating hearings, trials, and pre-trials, and ensuring all actions are taken within statutory time limits. </li><li>Responds to telephone and written inquiries, providing case updates and other relevant information. </li><li>Assists with scheduling hearings, trials, continuations, and cancellations. </li></ul> <p>Knowledge, Skills, and Abilities (KSA):</p> <ul> <li>Knowledge of general secretarial and clerical procedures. </li><li>Familiarity with legal terminology and office technology systems. </li><li>Ability to proofread and edit business documents. </li><li>Proficient in word processing systems and legal research. </li><li>Ability to transcribe dictation accurately and assist the public in a professional manner. </li></ul>
