<p>Department: Clerk of Courts</p> <p>Anticipated Work Schedule: Monday - Friday, 8:30 AM - 4:30 PM Saturday rotation</p> <p>Reports To: Division Supervisor</p> <p>Full Time or Part Time: Full Time</p> <p>Regular or Temporary: Regular</p> <p>Bargaining Unit: CWA Local 4340</p> <p>Classified or Unclassified: Unclassified</p> <p>FLSA: Non-exempt</p> <p>The purpose of this classification is to perform general and routine receptionist, clerical data entry, and clerical accounting work that may include accounts payable and receivable in support of both criminal and civil courts; to provide general information and assistance to County Court staff, attorneys, and the public; to make copies and certified copies and forward to appropriate parties; retrieve/replace files; to conduct records maintenance activities in compliance with guidelines governing record retention; to sort, prepare and process court records and documents for digital imaging and scan into digital imaging system; to review documents for completeness and accuracy; to invoice, receive, record and provide receipts related to court proceedings and requirements.</p> <p>Requirements:</p> <p>High school diploma or GED, with two (2) years of previous experience in clerical accounting, clerical data entry, reception or similar work; experience in a legal environment preferred; or an equivalent combination of education, training, and experience</p> <p>Responsibilities:</p> <ul> <li>Accepts and processes motions, pleadings, subpoenas, other court documents filed electronically and in paper form; organizes documents, files information in designated order; makes copies and certified copies and forwards to appropriate parties; retrieves/replaces files; conducts records maintenance activities in compliance with guidelines governing record retention; prepares, processes, scans, and validates court records and documents for digital imaging; reviews documents for completeness, accuracy, and redactions; locates missing documents and corrects any errors; enters tracking and identification information into case management system; maintains various accounting records and financial transactions including accounts payable, accounts receivable and; receives funds and payments by check, cash, and credit card; reviews, verifies, and records required information and transactions; shreds/destroys confidential or obsolete documents. </li><li>Assists County Court staff, attorneys, and the public in person or by phone; provides basic information on court policies and procedures; receives and responds to questions and requests for documentation and information; redacts confidential information from documentation provided to the public; researches inquiries to provide accurate response. </li><li>Processes incoming and outgoing mail; retrieves, sorts and delivers incoming mail; compiles and prepares documentation for mailing or delivery as needed; sorts, organizes, labels, and addresses outgoing mail; scans outgoing mail; delivers documents in person or through established mail delivery systems; maintains related documentation. </li><li>Maintains the necessary records to support processed transactions related to area of assignment; reconciles records; verifies docket entries and accounting entries to ensure accuracy; processes, enters and verifies numerical or financial data. </li><li>Prepares certificates, basic reports and documentation; compiles and prepares routine reports; compiles basic technical information related to area of assignment; types, enters, proofreads and processes a variety of documents and data; enters court-related information into department databases; verifies information for accuracy and completeness; </li><li>Responds to questions regarding area of assignment; assists County Court staff, attorneys, businesses, and the public in person or by phone; provides basic information on court policies and procedures; receives and responds to questions and requests for documentation and information; researches inquiries to provide accurate response. </li></ul> <p>Application Process</p> <p>This is an unclassified position.
