<p>The University of Indianapolis is seeking applicants for an administrative assistant position in the Christel DeHaan Center for Global Engagement (CDCGE). This position provides critical administrative support and front-desk reception for center services in the areas of International Admission, International Student & Scholar Success, Study Abroad, and Global Partnerships. Position reports to the Director of International Student Advising & Success.</p> <p>RESPONSIBILITIES:</p> <ul> <li>Provides general administrative and clerical support to all CDCGE professional staff. </li><li>Maintains an inviting reception area for campus guests, students, and employees. </li><li>Acts as liaison to the campus on behalf of the CDCGE, including walk-in traffic, incoming calls, the UIndy CDCGE, UIndy Study Abroad, email inboxes and communications, incoming and outgoing mail, and other related activities. </li><li>Facilitates the flow of all internal forms and requests for the CDCGE by either responding directly to requests or directing the inquiries to the appropriate team member. </li><li>Manages all departmental printing and supplies requests, including inventorying and maintaining sufficient on-hand items. </li><li>Manages and processes departmental financial requests with the Finance department, including reconciling University credit card reports, depositing funds, submitting check requests, and requesting payments for departmental memberships, professional fees, and other expenditures. </li><li>Processes and updates information and data in Ellucian Banner, Slate (CRM), Brightspace (LMS), Cascade, the Student and Exchange Visitor Information System (SEVIS). </li><li>Schedules, organizes, and assists in planning events, orientations, meetings, activities, new student arrivals, and CDCGE travel arrangements. </li><li>Coordinates and regularly updates internal CDCGE individual appointments, events, communications, and international travel registry calendars. </li><li>Prepares and modifies documents including immigration forms, student letters, assessment forms, e-newsletters, etc. </li><li>Manages study abroad participant agreement forms and rosters, required international travel documents, study abroad portfolio, and the global partnerships database. </li><li>Oversees student employees including hiring, onboarding, timesheet approval, scheduling, and delegating appropriate tasks and projects. </li><li>Maintains electronic and physical organization systems. </li><li>Provides back-up support for several CDCGE functions. </li><li>Serves as a Notary Public. </li><li>Maintains a working knowledge of the campus with regard to campus-wide services, resources, office functions, departmental contacts, etc. </li><li>Completes special projects as assigned by CDCGE professional staff. </li></ul> <p>QUALIFICATIONS:</p> <ul> <li>Strong administrative skills </li><li>Exceptional customer service skills, over the phone and in person, with students, their families and other department personnel </li><li>Ability to work with minimal direct day-to-day supervision in a multi-task-oriented environment </li><li>Ability to work with regular interruptions in tasks and maintain an excellent work output </li><li>Strong sense of urgency, ownership, and initiative; ability to multitask and prioritize </li><li>Experience in planning, budgeting and implementing programs and conferences/events for the community or other audiences </li><li>Effective problem solving skills </li><li>Proficiency with Google Workspace (Sheets, Docs, Forms, Calendar, Gmail, etc.) and Microsoft Office </li><li>Ability and aptitude to adapt to new data systems and processes </li><li>Ability to work in a supportive and hard-working team environment </li><li>Excellent organization skills </li><li>Demonstrated ability to work collaboratively with diverse internal and external constituencies </li><li>High school diploma or GED certificate required, Bachelor's Degree preferred </li><li>Must have U.S. citizenship or permanent residency in order to work within SEVIS </li></ul>
