<p>The Operational Specialist will work as part of the LCGSB Team, under the general direction and supervision of the Executive Director, to support the administrative and programming needs of the LCGSB. This multi-disciplinary role requires a very organized, well-detailed approach to position duties and demonstrated ability to work as part of a cross-functional team.</p> <p>Assists the Executive Director with the preparation of reports, correspondence, memoranda, presentations, grant applications, internal policies/procedures, form completion, conducts research as requested, maintains ward demographic data for reporting purposes and notarizes documents as needed</p> <p>Assists Executive Director with guardianship application preparation and intake referral process as necessary.</p> <p>Serves as point of contact with the Lucas County Probate Court in regard to Court filings and monitoring/retrieval of Court Folder contents.</p> <p>Works with the Executive Director and the Social Services Team to implement and maintain a system that provides for the timely and accurate monitoring/tracking of required Probate Court filings, including Annual Guardianship Reports, Plans and Subsequent Expert Evaluations.</p> <p>Maintains organization of hard-copy case files and works with the Social Services Team to assist with, and provide ongoing maintenance of, the timely input of necessary ward client documentation into the E-Guardianship Database, including, but not limited to, scanning all pertinent documentation into the Database for electronic reference.</p> <p>Assists the Executive Director with Board administration, including but not limited to: attending regular (monthly) and special (occasional) Board of Directors meetings, recording/transcribing meeting minutes, scheduling meeting conference rooms, posting public notice of meetings to Website Calendar. Additional duties include assisting the Executive Director with meeting Agenda preparation, compiling Board Meeting packets for attendees, coordinating all Board information on appropriate County web pages and ensuring all information is up to date.</p> <p>Assists the Executive Director with any LCGSB event planning/hosting responsibilities such as Board Retreats, training program offerings, fundraising events, etc.</p> <p>Maintains and distributes shared calendars on a regular basis, including calendaring and cross-referencing monthly Court proceedings with respective Court-posted calendars.</p> <p>Prepares and processes requisitions, purchase orders, accounts payable invoices for payment, Lucas County Procurement Card (P-Card) invoices and receipts, along with travel, training and Staff mileage expense reimbursement requests, for payment utilizing the ORACLE system, and acts as point of contact for accounts payable vouchers and accounts receivable deposits.</p> <p>Maintains accurate records of all LCGSB purchases and transactions; analyzes separate accounts for account balance, account consistency, and account impact on total financial system balance.</p> <p>Prepares and submits monthly financial reports to the Executive Director.</p> <p>Acts as liaison with all County offices to maintain good working relationships with these County entities.</p> <p>Supports LCGSB operations by arranging for routine service and maintenance of office equipment and tracking office supplies quarterly, procures and maintains adequate stock of essential office supplies as needed/requested.</p> <p>Receives, processes and/or distributes incoming and outgoing mail and/or documentation received via facsimile to appropriate Staff.</p> <p>Monitors the LCGSB main office voice mail on a daily basis during regular business hours and forwards all voice mail messages to the appropriate Staff.</p> <p>Attends all trainings, programs and activities that enhance the Board, its mission, and individual professional development.</p> <p>Other duties as assigned.</p> <p>K KNOWLEDGE, SKILLS & ABILIITES</p> <ul> <li>Strong oral and written communication skills </li><li>Ability to operate, maneuver and/or control the actions of common office equipment, machinery, tools, and/or materials used in performing essential functions; </li><li>Knowledge of general office practices and procedures; willingness to learn agency policies and procedures, as outlined in Employee Handbook,; electronic word processing, spreadsheets and copy machine and scanner capabilities; </li><li>Demonstrated ability to effectively and professionally communicate both orally </li><li>Professional demeanor and demonstrated dependability, reliability, time management skills and the ability to prioritize work assignments </li><li>Ability to work independently and take initiative as necessary </li><li>Ability to maintain confidentiality. </li><li>Ability to operate maneuver and/or control the actions of office equipment, machinery, tools and/or materials used in performing essential functions. Troubleshoot office equipment as needed. </li></ul> <p>Associate's degree in business administration, paralegal or communications or related field from an accredited educational institution and two (2) years' experience in executive or management-level support to include word/data processing, general office skills, filling, use of software applications, and/or project management</p> <p>OR</p> <p>high school graduate or equivalent and four (4) years' experience in executive or management-level support to include word/data processing, general office skills, filling, use of software applications, and/or project management</p> <p>OR</p> <p>Any equivalent combination of training, education and work or volunteer experience as determined by the employer</p> <p>Previous experience working with guardianship, court system, County government or social service system preferred</p> <p>Ohio Notary Commission completed or ability to become commissioned post-employment preferred</p>
