<p>The Events Manager will oversee the life cycle of assigned client and company events at the Ryman Auditorium, including managing co-promoted and sole-promoted events and rentals and producing in-house events and special projects. This will include managing and communicating related activities and services to ensure the smooth execution of events and projects.</p> <ul> <li>Represent company when communicating with prospective and existing clients and show producers/artist teams, including checking availability/placing holds, conducting site visits, creating budget estimates, and explaining venue policies, procedures and best practices. </li><li>Serve as primary point of contact with rental clients and show producers/artist teams from event confirmation through event completion, ensuring excellent customer service. Work with clients to build master project plans that address specific objectives and needs. Formulate detailed timelines, spatial layouts and other event specifics to share with internal teams as appropriate. Create and manage budgets keeping clients informed of any deviations from plan. </li><li>Collaborate with internal departments and vendors on creative development and advancement of events and special projects. Manage and clearly describe the objectives regarding ticketing, marketing, schedules, staffing and equipment needs to ensure success. </li><li>Ensure contracts, deposits, insurance coverage, and all event-related documents are correctly processed. Process all wires for payment to clients and partners. Ensure all internal settlements are completed and agreed upon with partners. Process check requests for artist and vendor payments. </li><li>Track revenue and expenses throughout event lifecycle. Compile final revenue and expense reports, including appropriate backup for financial settlements. Conduct onsite settlements when necessary and work with Accounting for post-show settlements. Ensure that all invoices and accruals are submitted to accounts payable. </li><li>Serve as Manager on Duty of both private and public events. Serve as point of contact for artist teams, promoters and rental clients during events. Guide internal departments and vendors to ensure all objectives are met and stakeholders are satisfied. Handle guest and maintenance issues, etc., as necessary. </li><li>Work with Director of Concerts, Director of Event Services and General Manager to manage venue calendar to create the greatest utilization, revenue, profit, and business and operational efficiencies. </li><li>Manage in-house events and projects for the Ryman, such as Bluegrass Nights at the Ryman, Plaza Events, press events, and special projects associated with milestones such as the building's celebrated anniversaries. </li><li>Collaborate with Director of Concerts, Concerts Booking Manager or Talent Buyer to book Plaza stage talent for special events and projects. </li><li>Maintain client event plans and records for post-event recap and repeat client satisfaction. </li><li>Perform other duties as assigned. </li></ul>
