The Lead Sales Operations Specialist is responsible management of new business onboarding, sales reporting and analysis, client contracts, broker</p> <p>RFPs, and special projects. Additional accountabilities include acting as a liaison with teams across OneDigital. The Lead Sales Operations Specialist must thrive in a fast-paced environment and be challenged by a role with the opportunity to:</p> <p>Essential Duties and Responsibilities (include but are not limited to):</p> <ul> <li>Design and maintain departmental reports, statistics, sales and retention metrics for Managing Principal. To include: </li><li>Assign monthly sales reporting to other operations team members. </li><li>Review reports for accuracy. </li><li>Create and maintain other sales and retention related reporting as needed </li><li>Provide high-level consultative, technical, and decision-making support to Managing Principal regarding organizational goals and initiatives. </li><li>Manage Agent of Record (AOR) paperwork process internally & externally </li><li>Process AOR letters with carriers, including requesting plan summaries/certificates of coverage, rates and online portal access. </li><li>Process new business information internally using the Brokerage Builder and D365 databases. This process may require obtaining current bills, rates and/or commissions. </li><li>Confirm, calculate and record case commissions. </li><li>Record confirmed revenue for sales goal reporting. </li><li>Maintain/revise contents of New Client Transition Workbook as needed </li><li>Coordinate with Business Development Executive to schedule internal transition meetings </li><li>Distribute Business Associate Agreement and Add/Terms Agreement through DocuSign to new clients for signature and execution. </li><li>Manage the contracting process for fee-based services and projects. </li><li>Generate contract and/or Statement of Work with information provided by applicable department. </li><li>Distribute document through DocuSign for execution. </li><li>Record new revenue for sales goal reporting. </li><li>Provide information to Sr. Manager of Finance and Administration for client billing. </li><li>Ensure internal databases reflect current information on services provided and associated costs. </li><li>Upon contract renewal, verify services are still being provided and confirm associated costs. Update contract or Statement of Work as needed. </li><li>Manage Broker Request for Proposals (RFP) process. To include: </li><li>Assemble responses to RFP questionnaires received from prospective clients, using RFP 360 to create a draft response. </li><li>Partner with Business Development staff to delegate and collect answers to unique questions. </li><li>Complete any forms required to be included with RFP response. </li><li>Create proposal covers, aesthetically lay-out final response documents, assemble final proposals & ship to prospective client. </li><li>Participate in key meetings by identifying, and tracking action items, and capturing decisions from these meetings. </li><li>Act as project manager for meetings related to projects and initiatives. </li><li>Develop, recommend, and implement action plans and complete project management duties as necessary to ensure successful completion of assigned projects within specified time </li></ul> <p>frames.</p> <ul> <li>Conduct independent research and analyses and interpret data related to sales or client related initiatives. </li><li>Other special projects as needed. </li></ul> <p>Qualifications, Skills and Requirements:</p> <ul> <li>Exceptional MS Office experience required, to include Excel, Word and PowerPoint. </li><li>Excellent communication skills (listens, speaks, and writes well); able to interact effectively </li></ul> <p>with people of various responsibility and authority (employees, key contacts, executives,</p> <p>etc.). Comfortable making group presentations.</p> <ul> <li>Highly organized. </li><li>Able to manage a multitude of details (including paperwork); stays proactive while juggling </li></ul> <p>these issues.</p> <ul> <li>Handles many simultaneous projects efficiently and effectively. </li><li>Operates in a fast-paced, energetic environment and welcomes change. </li><li>Models and exemplifies the OneDigital Way. </li><li>In all things, seeks to behave in a professional, consistent, and reliable manner. </li></ul> <p>Education, Training and Experience:</p> <ul> <li>Three or more years of experience sales operations role required. </li><li>Three or more years of experience in employee health & welfare benefits preferred. </li><li>An earned high school diploma required; prefer bachelor's degree (or its equivalent). </li></ul> <p>Your base pay is dependent upon your skills, education, qualifications,</p> <p>professional experience, and location. In addition to base pay, some roles are</p> <p>eligible for variable compensation, commission, and/or annual bonus based on</p> <p>your individual performance and/or the company's performance.
