CoreCivic is currently seeking a Supervisor, Medical Scheduler located at our corporate office in Brentwood, TN. Come join a team that is dedicated to making an impact for the people and communities we serve.</p> <p>This position would require a hybrid work schedule of 3 days per week onsite and 2 days remote out of our Brentwood, TN office location.</p> <p>This position pays $56,000 - $61,000</p> <p>SUMMARY:</p> <p>The Supervisor, Medical Scheduler coordinates the activities of staff engaged in the scheduling of offsite inmate patient consult requests for participating CoreCivic facilities. Reviews scheduling and referral information to verify that records are accurate and complete and can be used to analyze patient patterns/utilization. Collaborates with CoreCivic facilities to discuss any offsite scheduling concerns. Helps to define problems, makes recommendations and implements process improvements in conjunction with the Senior Director, Centralized Scheduling as needed. Tracks metrics and maintains the scheduling dashboard. Collaborates with external software vendors to ensure all referrals are transmitted appropriately. Provides oversight for urgent referrals and acts as back-up for appointment schedulers when short-staffed.</p> <p>ESSENTIAL FUNCTIONS:</p> <p>The incumbent should be able to perform the following functions at a pace and level of performance consistent with the job performance requirements.</p> <ul> <li>Supervises staff in the performance of their duties and evaluates as prescribed by the facility and company policy. This includes training new employees, evaluating performance, and preparing written performance reviews, listening to concerns and effectively resolving disputes or issues, taking corrective or disciplinary action, developing work schedules for subordinates, and approving leave requests. </li><li>Monitors and tracks number of outpatient referrals, referral priority, and cancelled referrals. Tracks urgent/time-sensitive referrals to meet regulatory contract deadlines. </li><li>Collaborates with Provider Network department when in need of specialty providers by market. </li><li>Monitors dashboard for outdated referrals and addresses backlog if needed. </li><li>Collaborates with Health Services Administrators (HSAs), site Medical Directors and Utilization Management team to ensure proper entry of referrals and medical records in scheduling system. </li><li>Liaises with external software vendors to identify system issues that suggest opportunities for improvement with the scheduling process and escalates for review or resolution. </li><li>Schedules inmate medical appointments and procedures in provider offices, hospitals, and diagnostic labs, at the nearest network provider when possible and within contractual timeframes as ordered by the Licensed Independent Practitioner. </li><li>Reviews appointment requests and documents basic medical history in scheduling system. Verifies that appointment is consistent with the diagnosis and indication for consult request and that required approvals are documented. </li><li>Verifies consult request is with an in-network, participating medical facility and within scope per contract. </li><li>Takes and responds timely to telephone calls to establish or confirm appointments. Confirms appointment times with designated CoreCivic facility staff members via required method of communication. </li><li>Provides support in maintaining and updating inmate medical records, requesting necessary medical records, and uploading into Electronic Medical Record (EMR) within contractual timeframes. </li><li>Enters data into various electronic systems, maintains the integrity and accuracy of the data, and updates records as consult request moves toward confirmation. </li><li>Addresses customer service issues, when applicable, and directs to the appropriate manager or resource. </li><li>Performs duties in a compliant manner by following department and company policies, as well as state and federal regulations. Maintains required levels of confidentiality. </li><li>Domestic U.S. travel may be required. </li></ul> <p>QUALIFICATIONS:</p> <ul> <li>High School diploma, GED certification or equivalent is required. </li><li>Three years of medical appointment scheduling experience, to include two years of customer service or data entry experience in a healthcare setting is required. </li><li>Must demonstrate knowledge of medical practice protocols related to appointment scheduling via use of manual/computerized scheduling system, medical terminology and diagnoses. </li><li>Must possess strong customer service skills. </li><li>Must be highly organized with the ability to multi-task, work under pressure, and manage changing priorities and moderate workload and a keen eye to detail. </li><li>Knowledge of medical scheduling platforms is required. </li><li>Knowledge of Leading Reach scheduling software or AllScripts preferred. </li><li>Proficiency in Microsoft Office applications is required </li></ul> <p>CoreCivic is a Drug-Free Workplace and EOE - including Disability/Veteran</p>
