We're looking for a highly organized and proactive Administrative Assistant to become a key part of our Reno team.</p> <p>In this vital role, you'll provide front desk reception and support essential administrative functions that keep our operations running smoothly. You'll work closely with our technical staff, playing an important part in delivering projects that directly impact the communities we serve. You will be the warm, welcoming presence that greets every client, visitor, and team member who walks through our door.</p> <p>What You'll Do:</p> <ul> <li>Monitor and answer phone calls. Direct calls to appropriate parties or take messages. </li><li>Greet visitors and direct them to the appropriate place as needed. </li><li>Manage conference room, vehicle reservations, courier services, and food/drink orders for onsite meetings. </li><li>Perform general office duties such as stocking and maintaining office and kitchen supplies, coordinating building maintenance and repairs, managing mail pickup and delivery. </li><li>Assist with staff travel logistics. </li><li>Provide support on business licensing and fleet management tasks. </li><li>Coordinate local office staff meetings, social, and philanthropic events. </li><li>Word process letters, reports, specifications, contracts and other documents. Reproduce, bind, and deliver proposals and reports. </li><li>Assist Office Manager, Marketing, Human Resources, Accounting, and other departments as needed. </li><li>Other duties may be assigned. </li></ul> <p>What We're Looking For:</p> <ul> <li>2+ years of administrative experience, preferably in a professional services or engineering environment </li><li>Strong attention to detail, organizational skills, and ability to juggle multiple priorities. </li><li>Excellent communication skills and a collaborative, can-do attitude </li><li>Proficiency with Microsoft Office Suite and familiarity with document formatting and production </li><li>A commitment to delivering high-quality work in a fast-paced, deadline-driven environment. </li></ul> <p>Qualifications</p> <p>To be successful in this position, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</p> <p>Education and/or Experience</p> <p>Two years related experience and/or training.</p> <p>Certifications, Licenses, Registrations</p> <p>Must have a valid driver's license and a good driving record.</p> <p>Mathematical Skills</p> <p>Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to create and interpret graphs/charts.</p> <p>Job Knowledge, Skills, and Abilities</p> <ul> <li>Requires sufficient English skills to compose correspondence, proofread documents, and effectively communicate with supervisors, other technicians, and clients. </li><li>Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with abstract and concrete variables. </li><li>Working knowledge of Internet/email; Microsoft Word and Excel; and type 65 wpm. </li></ul> <p>Accuracy, efficiency, and timeliness are essential. Strong knowledge of office equipment such as fax machines and copiers. Ability to prioritize special projects and daily workload to ensure that all work is completed in a timely and efficient manner.</p> <p>Physical Demands and Work Environment</p> <p>The physical and environmental conditions described here are representative of those an employee may encounter while performing the essential functions of this position.
