Must be available to work additional hours as needed.</p> <p>Who May Apply?</p> <p>All persons legally authorized to work in the United States</p> <p>Overview</p> <p>The Legal Assistant/Office Coordinator acts as an assistant to the City Attorney. Coordinates the Office of City Attorney to maximize the productivity of the office, in performing confidential legal assignments such as memos, correspondence, resolutions/ordinances, notarizing documents.</p> <p>Responsibilities</p> <ul> <li>Assist attorneys and paralegals in all legal matters by drafting, proofing, and typing ordinances, resolutions, contracts, real estate transaction documents, memorandums, briefs, pleadings, memos and answers. </li><li>Prepare copies and compile and index evidence and exhibits </li><li>Prepare and process correspondence, legal papers, and documents requiring knowledge of legal format, terminology, and procedures. </li><li>Prepares and notarizes documents for assigned attorneys. </li><li>Prepare and organize case files. </li><li>Prepares travel arrangements. </li><li>Directs, manages, and oversees administrative operations of assigned department including interpreting, formulating and implementing departmental policies and procedures. </li><li>Maintains training records and submits evaluation records for office staff. </li><li>Payroll Liaison of Legal Office Personnel </li><li>Process payment invoices for the department and submits invoices for payment. </li><li>Participates in the budget monitoring system and make necessary purchases of equipment and supplies. </li><li>Performs other special projects as assigned by City Attorney & representatives thereof. </li><li>Scan, index and revise documents. </li><li>Sort and distribute mail, schedule and calendar meetings, maintain and order supplies, and maintain and update filing. </li><li>Perform special projects. </li><li>Other duties as assigned </li></ul> <p>Knowledge, Skills and Abilities Required</p> <ul> <li>· Basic computer skills - Microsoft Word, Excel, PowerPoint </li><li>Ability to type quickly </li><li>Excellent reading and writing skills </li></ul> <p>Qualifications</p> <ul> <li>Requires Associate's degree </li><li>Minimum of three to four (3 - 4) years of experience as a legal assistant, paralegal or legal secretary preferred </li><li>Combination of education and pertinent experience may be considered </li><li>Must obtain Notary Public within 6 months of hire </li><li>A valid driver's license is required.
