<p>Job Description Summary</p> <p>This Administrative Coordinator I position serves as the Administrative and Communications Coordinator for the MUSC Boeing Center for Children's Wellness (BCCW). The position supports all purchasing and procurement duties for the Center while also supporting the development and implementation of marketing and communications strategies that the Center's Initiatives. Primarily responsible for providing direction on marketing collaborative oversight, and multi-channel communications: digital/social, direct mail, email, and print. Works closely with the Director of the Boeing Center to provide guidance to the team on the allocation of resources and oversight of administrative activities that support the management of the center.</p> <p>Works to develop and maintain relationships with key internal and external constituents by sharing and responding to requests for information, ensuring these constituents receive relevant, timely, and positive information about the work of the Boeing Center. This includes coordinating, designing, and producing the Center's Annual Impact Report. Identify the needs and interests of various groups and translate the results into strategic communication efforts, including selecting the best medium to achieve goals.</p> <p>30%</p> <p>Administration Duties</p> <ul> <li>Provides support for all administrative activities for the Center. </li><li>Responsible for understanding the University's purchasing policies and guidelines. </li><li>Responsible for entering purchased goods, services, and supplies into OurDay. </li><li>Responsible for all P-card purchases and associated fiscal management. </li><li>Ensures transactions are accurate, processed timely, and approved. </li><li>Manages relationships with vendors, serving as a point of contact </li><li>Supports training and troubleshooting for CRM software </li></ul> <p>25%</p> <p>Print Media and Outreach Duties</p> <ul> <li>Develop a variety of print and electronically-based communication materials for targeted internal/external audiences, coordinating related public affairs, media, community relations, and marketing activities through collaboration with designers, photographers, and others on the theme, branding, and design of materials to maximize impact. </li><li>Coordinate, design, and produce BCCW Annual Impact Report, school-based staff training/educational presentations/videos, educational campaigns, and translational research materials </li><li>Work with the appropriate MUSC communications entities to support a multi-media strategy, including social media, and videos, to increase engagement with internal and external constituencies to promote BCCW </li><li>Identify and manage direct strategic placement of communications to appropriate media outlets to maximize impact. </li></ul> <p>New Duties:</p> <ul> <li>Ensures all written and video materials are ADA compliant </li><li>Fosters productive working relationships with internal and external partners to expand the reputation and reach of BCCW. </li></ul> <p>20%</p> <p>Digital Media Duties</p> <ul> <li>Oversee the Center's website. Responsible for developing new content, updating existing content, and serving as liaison with appropriate MUSC departments for site maintenance. </li><li>Develop themes and content for social media and print materials in accordance with brand guidelines. </li><li>Develop and maintain social media content calendars. </li><li>Create social media graphics in accordance with branding guidelines. </li><li>Create relevant content for Facebook and Instagram. </li><li>Moderate Facebook group and create content to engage members in discussion. </li><li>Monitor analytics on social media and adjust content calendar as necessary. </li></ul> <p>20%</p> <p>Marketing Oversight Duties</p> <ul> <li>Respond to requests for information from media outlets, internal/external stakeholders, and the public to ensure constituents receive relevant, timely, and positive information about the Center's work. </li><li>Train staff on best practices in brand management. </li><li>Develop and coordinate timeline for marketing and communications needs. </li><li>Edits communications, presentations, and other documents before being shared with the public. </li><li>Works directly with BCCW Medical Director and Director to enhance the visibility and credibility of the Center. </li><li>Collaborate with designers, photographers, and others to develop materials and content. </li></ul> <p>New Duties:</p> <ul> <li>Develop compelling content and photography for the Center's various communication channels, such as website, monthly and subject-specific e-communications, and social media, while adhering to MUSC's Branding and Style Guidelines. </li><li>Distribute written and photographic content to school districts and community partners as requested. </li><li>Secure signed waivers for all photographic content. </li><li>Serves as project lead for all communication projects and works to expand the reputation and reach of BCCW. </li><li>Coordinates communication projects, from concept through completion, with a high degree of quality, creativity, and efficiency. </li></ul> <p>5%</p> <p>Other Duties as Assigned</p> <p>Additional Job Description</p> <p>Minimum Requirements: A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services.</p> <p>Physical Requirements: (Note: The following descriptions are applicable to this section: Continuous - 6-8 hours per shift; Frequent - 2-6 hours per shift; Infrequent - 0-2 hours per shift) Ability to perform job functions in an upright position.
