<p>Western Michigan University Homer Stryker, MD, School of Medicine is hiring a Director, Clinical Affairs Business Operations. Responsible for the operational and financial performance of the medical school's clinical ambulatory services under the guidance and supervision of the Vice President, Clinical Affairs. Serves as the direct supervisor of the primary and specialty care nurse managers, radiology manager and clerical team manager. Re-evaluates regularly with changes in technology and as other circumstances arise. </li></ul> <p>Operations & Patient Experience</p> <ul> <li>Ensures the development of policies and standard operating procedures necessary to ensure workflow efficiency and high-quality outcomes. Collaborates with managers to solve operational problems and to improve patient care access and service. </li><li>Responsible for ensuring that employees follow safe practices and procedures for the fair and ethical treatment of patients, families, visitors, and other customers. </li><li>Provides analysis and recommendations related to clinical volume, efficiency standards, quality of services provided, and other management concerns. </li><li>Ensures a high-performing, team-based clinical learning environment for resident and student education. </li></ul> <p>Financial Management</p> <ul> <li>With the Vice President, Clinical Affairs, develops and manages a cohesive, coordinated operating budget and guides managers in the management of their budgets as necessary. </li><li>Similarly develops a well-planned capital budget with Vice President, Clinical Affairs. </li><li>Reviews financial and clinic productivity reports regularly. Communicates findings and initiates special analyses, and/or changes procedures as necessary. </li><li>Ensures collaboration between Billing Services and WMed Registration team to maximize billing accuracy and reduce insurance denials. </li><li>Works with WMed Finance and Billing Services to ensure accurate and timely payment of incentives from payors. Forms strong working relationships with payor representatives. </li></ul> <p>Quality Improvement & Compliance</p> <ul> <li>Works closely with VP, Clinical Affairs in the planning and execution of quality, patient safety, and patient experience initiatives. </li><li>Identifies and leads performance improvement initiatives to enhance patient care and access. </li><li>Works with the Senior Director, Facilities to ensure preparedness for all emergency situations that might impact the clinical environment of care, delegating responsibilities to managers, as appropriate. </li><li>Understands the requirements of internal and external bodies, involving compliance, accreditation, auditing, and other regulations required of the institution. </li></ul> <p>Management & Leadership</p> <ul> <li>Works closely with medical directors to build a strong and inclusive team of clinical support staff, faculty, and residents in WMed Health outpatient clinics. </li><li>Hires managerial personnel and advises them in creating and monitoring the appropriate staffing plan. Evaluates, develops, and (when necessary) disciplines and discharges subordinates. Provides mentoring to managers, identifying areas of development opportunities. </li><li>Leads or participates in a variety of standing and ad-hoc committees as requested by the Vice President, Clinical Affairs, including the WMed Compliance Committee. </li><li>Works with the managers in the development of an effective organizational structure including: efficient work flow patterns, delineation of duties/responsibilities, appropriate supervision, and resolution of patient complaints. </li><li>Availability to work on weekends and evenings to complete time sensitive projects. </li><li>Acquires knowledge for new technology and policy/procedure revisions. </li><li>All other duties as assigned. </li></ul> <p>EDUCATION AND/OR EXPERIENCE:</p> <ul> <li>Master's degree in business or healthcare required. </li><li>Minimum five years of leadership experience, preferably in a physician practice or ambulatory facility, required. </li><li>Minimum five years of management experience, including at least two years directly supervising other managers, required. </li><li>Training and experience with quality improvement principles and LEAN methodologies preferred. </li><li>Experience with electronic health record, Epic preferred. </li><li>Familiarity with revenue cycle process and healthcare billing regulations strongly preferred. </li></ul> <p>OTHER SKILLS AND ABILITIES:</p> <ul> <li>Must possess strong communication skills, and an ability to rapidly synthesize information and communicate clearly to a variety of constituents (physicians, managers, and staff). </li><li>Demonstrated high-level of planning and organization skills, and an ability to develop creative solutions when faced with complex problems and politically sensitive issues. </li><li>Requires excellent analytical skills, and a well-developed sense of timing and strategy. </li><li>Must be able to implement strategic initiatives involving a multitude of constituents requiring the ability to integrate and synthesize broad goals and objectives into a detailed operation plan. </li><li>Can analyze financial data in order to efficiently oversee operational budgets and cost effectively approve expenditures. </li><li>Ability to recruit, hire, supervise, orient, train, direct and delegate the work of relevant managerial staff. </li><li>Ability to work effectively as a team member with physicians, residents, managers, and staff. </li><li>Ability to properly assert authority and succeed in getting work done effectively with others. </li><li>Excellent time management skills. </li><li>High degree of tact and diplomacy. </li><li>Demonstrated record of heightened responsibilities and successes. </li><li>Ability to accept and apply feedback. </li><li>Regular and predictable attendance is expected. </li><li>Demonstrates the ability to recognize priorities in organization of work flow. </li><li>Able to perform duties independently, with a minimal need for direct supervision. </li></ul>
