<p>This position reports on-site.</p> <p>Summary: This position is responsible for performing secretarial, administrative and related tasks of a confidential nature for the Chief Operating Officer and other management personnel.</p> <p>Duties and Responsibilities:</p> <ul> <li>Employee is responsible for adherence to all compliance programs and the completion of all required and assigned training by established due dates </li><li>Employee is responsible for understanding their duties and responsibilities as it relates to the Bank Secrecy Act, ("BSA"), Anti-Money Laundering Act ("AML") and Office of Foreign Assets Control Regulations ("OFAC"). This includes understanding any responsibilities outlined under the Bank's BSA/ OFAC Program, participating in any required training and promptly complying with all reporting requirements </li><li>Understands and complies with requirements of all laws and regulations applicable to position </li><li>Provide confidential administrative support in an accurate and flexible manner </li><li>Schedule and manage the Executive's daily appointment calendar </li><li>Coordinate travel and lodging arrangements </li><li>Arrange and coordinate meetings, conferences, special functions and appointments </li><li>Collect and prepare information for use in discussions and meetings with executive staff members, Board of Directors, and outside individuals </li><li>Act as primary liaison with various departments within the Bank; respond to inquiries and complaints related to the Department </li><li>Develop a working relationship with superiors and peers to accomplish department and Bank goals </li><li>Compose letters and memoranda from verbal direction, dictation, or from Bank policies and procedures </li><li>Type and coordinate correspondence, reports, memoranda, special projects, technical papers, and related material for the department as requested </li><li>Receive and answer telephone calls, mail and visitors and provide information in accordance with Bank policy </li><li>Maintain records, gather and check data, as well as design, format, compose, and edit a variety of reports </li><li>Perform other duties as assigned </li></ul> <p>Salary Range: The salary range budgeted for this position represents the Company's good faith minimum and maximum range for this role at the time of posting. The compensation offered to a candidate may vary depending on several factors, including a candidate's qualifications, skills, competencies, experience, and location.</p> <p>Geographic Location:</p> <ul> <li>Irvine, CA: $68,000 - $85,000 (Annually) </li></ul> <p>Applicants must have current work authorization when accepting a First Foundation Inc. position. Currently, we cannot sponsor or take over the sponsorship of an Employment Visa.</p> <p>Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Highly organized and flexible </li><li>Excellent verbal/written communication skills with the ability to effectively communicate with all levels of personnel </li><li>Self-motivated, detail-oriented team player. 60 wpm typing skills </li><li>Strong knowledge of business English, spelling, and punctuation </li><li>Ability to take shorthand or to transcribe dictation </li><li>Organized, independent, and self-motivated with a team player attitude </li><li>Present a professional image in dealing with customers, interdepartmental and external representatives </li></ul> <p>Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
