Our portfolio includes a wide array of reputable brands like Marriott, Hilton, IHG and Hyatt as well as many unique, independent, boutique and lifestyle properties and restaurants.</p> <p>Key Responsibilities</p> <p>Sales + Account Support</p> <ul> <li>Assist with identifying, soliciting, and maintaining new and existing accounts </li><li>Support Sales Managers with achieving monthly revenue goals </li><li>Respond to inquiries, leads, and information requests in a timely, polished, client-forward manner </li><li>Prepare, update, and distribute proposals, contracts, BEOs, reports, and internal documentation </li><li>Support the department during Prime Time Selling hours </li></ul> <p>Group, Event, and Transient Coordination</p> <ul> <li>Create and maintain group blocks, catering events, and reservation details in all PMS/CRM systems </li><li>Coordinate rooming lists, cutoff dates, deadlines, contracts, addendums, and payment schedules </li><li>Assist with event detailing, BEO accuracy, and communication between sales, operations, and the front office </li><li>Conduct site inspections and room checks to ensure guest expectations are met </li><li>Greet groups on arrival, assist with welcome amenities, and support needs throughout their stay </li><li>Manage group bookings from proposal stage through departure, ensuring every step of the internal group checklist is completed accurately and on time - including final billing, payment reconciliation, and World of Hyatt Meeting Planner Points submissions </li></ul> <p>Administrative + Organizational Support</p> <ul> <li>Maintain a consistently organized sales office environment, digital filing system, and reporting structure </li><li>Assist with daily/weekly/monthly reporting including PACE, statistical reports, billing summaries, and internal trackers </li><li>Oversee billing and accounting functions for group & business transient bookings, including but not limited to securing payment methods, sending final invoice to the client within 3 days of group departure and taking payment, reconciling charges, and assisting with group audits </li><li>Manage department inboxes, distribute communication, and ensure tasks are completed with accuracy and urgency </li><li>Work cross-departmentally to ensure flawless execution of groups, events, and individual reservations </li></ul> <p>Operational Support</p> <ul> <li>Reserve meeting space and blocks of rooms as needed </li><li>Assist with light event setup or tear-down when necessary </li><li>Partner closely with the front desk, housekeeping, engineering, F&B, and leadership to ensure alignment </li><li>Perform additional duties as needed to support evolving business objectives </li></ul> <p>Education & Experience</p> <ul> <li>High school diploma required; post-secondary education preferred </li><li>Minimum one year of hotel, catering, or sales support experience </li><li>Experience with hotel systems (Opera, Envision, Delphi, or similar) is strongly preferred </li></ul> <p>Knowledge, Skills & Abilities</p> <ul> <li>Exceptional organizational skills and the ability to manage multiple priorities and deadlines </li><li>Strong verbal and written communication skills </li><li>Keen attention to detail - accuracy and follow-through are essential in this role </li><li>Confident problem-solver with the ability to work independently and collaboratively </li><li>Comfortable in a fast-paced environment where priorities shift throughout the day </li><li>Proficient in Microsoft Office and general office technology </li><li>Familiarity with Hyatt systems - including Envision, Opera Cloud, Reserve, and Colleague - is highly preferred and will be considered a significant advantage </li><li>A team-first mindset with a genuine desire to support the success of the entire Sales Department </li><li>The hiring process may consist of a phone interview, manager(s) interview, drug screen, background check, reference checks, and potential employment assessment.
