<p>Description and Functions</p> <p>GENERAL DESCRIPTION:</p> <p>The Wyoming Game and Fish Department is seeking an Office Support Specialist to join the license sales team in Cheyenne, WY. This position is the first point of contact with the through the telephone information call center or personal contact at the license sales counter. This position is responsible for over-the-counter license sales, watercraft registrations, and acceptance of applications for limited quota drawings to include verifying requirements have been met per Federal Code, Wyoming Statutes, Commission Regulations and Department policies prior to issuance of license/registration or acceptance of applications/verifying proper fees have been remitted and then issuing licenses/registrations using the Electronic License Service (ELS) system.</p> <p>Human Resource Contact: Dezzaree Schott / dezzaree/schott@wyo.gov</p> <p>ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.</p> <ul> <li>Responsible for providing information and answering questions to the public and department personnel, via phone in the telephone information center, and working the front license sales counter. </li><li>Responsible for assisting customers on the telephone or in person to find information and apply for or purchase licenses on the WGFD website. </li><li>Responsible for the issuance of various licenses (regular, special, and commercial), permits, tags, stamps, decals, certificates, and registrations over the counter with the public and/or through applications received in the mail. </li><li>Responsible for maintaining a cash drawer, daily reconciliation of sales transactions with funds remitted, and preparation of funds for deposit. </li><li>Responsible for interpreting Federal Code, Wyoming Statutes, Commission Regulations, and Department policies regarding hunting, fishing, boating, and commercial licenses and disseminating information and answering questions to the public at the front license counter, over the telephone, and through written correspondence. </li><li>Research licensing databases, licensing systems, and standard reports to provide information to the public and other Department personnel. </li><li>Assist with other duties within the Fiscal Division as assigned by the License Sales Supervisor, License Section Manager, or Fiscal Division Administration. </li><li>Responsible for assisting 200+ external license selling agents and eight (8) internal Regional Offices with using the Electronic License Service (ELS) system. </li></ul> <p>Qualifications</p> <p>PREFERENCES/AGENCY REQUIREMENTS:</p> <p>Preference may be given to those with an associate's degree in business or a related degree.</p> <p>Must have a valid driver's license.</p> <p>KNOWLEDGE:</p> <ul> <li>Excellent written and verbal communication skills, including interpersonal communication skills and the ability to assist the public through phone and personal contact, to deal calmly with irate clients, and to communicate complicated rules and regulations in layman's terms without distortion. </li><li>Ability to pay close attention to details to ensure appropriate cash handling and balancing procedures, with the ability to document work processes. </li><li>Understanding of and ability to apply accounting standards and processes, including internal control issues and audit requirements, and fund accounting. </li><li>Knowledge of state and agency statutory and regulatory requirements and policies as related to a multitude of licenses and regulations, including WGF Chapter 44 and related hunting rules and regulations. </li><li>Knowledge of the WGF website and the ability to help customers navigate to find information. </li><li>Competence with the Electronic License Service (ELS) system, including customer screens, receipt and application screens, and various balancing reports. </li><li>Ability to work closely with other sectional personnel to ensure efficient and effective workflow processes. </li><li>Ability to establish and maintain filing systems for all applications and receipt processing information, and information necessary to balance applications. </li><li>Ability to work under pressure of critical time elements, demonstrating ability to prioritize work based on workload/seasonal fluctuations requiring different emphasis on assigned tasks. </li><li>Competence in critical thinking with the ability to research and resolve questions involving the accuracy of all transactions processed by the Electronic License Service (ELS) system. </li><li>Ability to utilize judgment as to problem resolution and escalation of decisions when issues may result in significant consequences. </li></ul> <p>MINIMUM QUALIFICATIONS:</p> <p>Education:</p> <p>Associate's Degree (typically in Business)</p> <p>Experience:</p> <p>0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I</p> <p>OR</p> <p>Education & ExperienceSubstitution:</p> <p>2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I</p> <p>Certificates, Licenses, Registrations:</p> <p>None</p> <p>Necessary Special Requirements</p> <p>PHYSICAL WORKING CONDITIONS:</p> <ul> <li>Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, driving an automobile, etc. </li><li>Ability to lift and transport various types of license inventory weighing
