<p>Description</p> <p>Title: Admissions Specialist</p> <p>Position Number: 0078827</p> <p>Hiring Unit:Manoa</p> <p>Date Posted: August 12, 2025</p> <p>Closing Date: August 26, 2025</p> <p>Band: A</p> <p>Salary :salary schedules and placement information</p> <p>Full Time/Part Time: Full-time</p> <p>Month: 11-month</p> <p>Temporary/Permanent: Permanent</p> <p>Duties and Responsibilities</p> <ul> <li>Serves as an admissions counselor with a strong general knowledgebase of admissions policies and practices, with a focus on providing support in on-campus programming and events management. </li></ul> <p>Campus Experience (On-campus programming and Welcome Center)</p> <ul> <li>Assists with executing and operationalizing strategies for undergraduate programs taking place in person (i.e. outside of normal business hours, on campus, in Hawaii, on the continental U.S.) or online/virtually. Campus Experience includes all Admissions programming taking place on campus and supporting the Welcome Center function. Constituents for these strategies includes, but is not limited to: prospective students, applicants, parents/family members, admitted students, deposited/matriculated students, and school/college counselors. </li><li>Assists with developing and disseminating the Campus Experience programming calendar of events to campus partners as well as prospective, admitted, and deposited undergraduate and graduate students. </li><li>Identified among the first line of staff to respond to incoming office emails, phone calls, and campus visitor meeting requests. </li><li>Assists in recruiting, interviewing, and training student employees that support the campus experience and recruitment functions. </li></ul> <p>Events Management</p> <ul> <li>Provides support with the logistics and execution of Admission events on- and off-campus (i.e.: in person on campus, in Hawaii, on the continental U.S.; or online/virtually). </li><li>Provides support for processing event contracts, agreements, and procurement management. </li><li>Assists with the event on-site; available as an on-site/event point of contact, especially if/when the Associate Director of Campus Experiences and Events is not available. </li><li>Provides recommendations to the Associate Director regarding events and their effectiveness in relation to overall admissions strategies. </li></ul> <p>Recruitment and Travel</p> <ul> <li>Serves as an office liaison to 2-3 campus units/partners. Specifically for this role, those partners are: Natural Sciences, SOEST, and Education. The liaison role includes: understanding that unit's work related to recruitment and enrollment; monitoring data and enrollment metrics for/with the unit; and liaising with the unit/campus partner for any special admission programs or events. </li><li>Leads, conducts, and participates in recruitment activities and events for prospective and/or admitted/matriculated students. These activities and events may include, but are not limited to: admission information sessions, college fairs, high school visits, on-campus events, and events for other constituents that support students through the college search process (ie: parents, college counselors), which requires travel to various geographical locations and work outside of normal business hours including evenings, weekends and holidays as directed. </li><li>Communicate and corresponds with applicants, parents, school officials, faculty and the general public regarding admissions policies, procedures, and issues through email, phone, and online/virtual methods. </li></ul> <p>Communication/Marketing</p> <ul> <li>Assists in developing and updating promotional brochures, flyers, literature, and other communication/marketing admissions collateral. </li><li>Assists in the development and execution of communication plans for prospective students, applicants, and parents/counselors who have indicated their intent to enroll. </li></ul> <p>Application Review and Selection</p> <ul> <li>Reviews and evaluates student applications. Renders admission and scholarship decisions in alignment with admissions and enrollment management strategies. </li><li>Other duties as assigned. </li><li>Denotes essential duties </li></ul> <p>Minimum Qualifications</p> <ol> <li> <p>Possession of a baccalaureate degree in art, science, education, counseling, social sciences, business or related field and 0 year(s) of progressively responsible professional experience with responsibilities for N/A; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.</p> </li><li> <p>Functional knowledge of principles, practices and techniques in the area of marketing, promotion, recruitment, admissions, and/or counseling demonstrated by knowledge, understanding and ability to apply concepts, terminology.</p> </li><li> <p>Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with marketing, promotion, recruitment, admissions, and/or counseling.</p> </li><li> <p>Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the marketing, promotion, recruitment, admissions, and/or counseling.</p> </li><li> <p>Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.</p> </li><li> <p>Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.</p> </li><li> <p>Demonstrated ability to operate a personal computer and apply word processing software.</p> </li><li> <p>Knowledge of the programs and organizations, their purposes and functions typical of an institution of higher education.</p> </li><li> <p>Some knowledge of the policies and procedures related to the admission of undergraduates.</p> </li><li> <p>Some understanding of the content of undergraduate education and the nature of the undergraduate experience at a research institution.</p> </li><li> <p>Ability to travel off-island, including neighbor islands, mainland, foreign countries, for purposes including visitations, presentations, and college fairs.</p> </li><li> <p>Ability to travel independently to various geographical locations in a timely manner. Requirement may be fulfilled by a valid Hawaii Driver's license (class 3), comparable driver's license, or other means of transportation, which meets position needs.</p> </li><li> <p>Ability to work outside normally scheduled work hours, including evenings, weekends, and holidays, as directed.</p> </li><li> <p>Ability to lift and carry at least 25 pounds.</p> </li></ol> <p>Desirable Qualifications</p> <ol> <li> <p>Experience and knowledge of UHM's student information system (Banner).</p> </li><li> <p>Experience in working with students, faculty, and administrators in both secondary and post-secondary education.</p> </li><li> <p>Functional knowledge of UHM programs and organizations, their purposes and functions.</p> </li><li> <p>Some knowledge of the policies and regulations in a large, public, research university as applied to the recruitment and/or admission of students, including diverse ethnic, socioeconomic students.</p> </li><li> <p>Computer skills including creating digital files and other presentation and reporting programs.</p> </li><li> <p>Some knowledge of the techniques and procedures involved in academic and personal counseling.</p> </li></ol> <p>To Apply:Click on the "Apply" button on the top right corner of the screen to complete an application and attach required documents.
