<p>Duties</p> <p>Purpose:</p> <p>To support the functions of the Superintendent office and the Board of Education, including clerical support, and perform a wide variety of special projects.</p> <p>Essential Functions:</p> <ul> <li>Provides assistance to the Superintendent. </li><li>Manages Superintendent Office budget and purchases. </li><li>Processes the Superintendent's correspondence. </li><li>Submits state reports. </li><li>Manages and responds to Freedom of Information Act requests and coordinates other requests for information. </li><li>Prepares and distributes district-wide communications such as Parent Handbook, District PhoneCard, and Staff Directory. </li><li>Serves as a Notary Public. </li><li>Maintains confidential files and district records of the Superintendent. </li><li>Prepares Board meeting room in advance of meetings. </li><li>Provides assistance to the Board of Education. </li><li>Attends and takes minutes at all Board of Education meetings. </li><li>Keeps an accurate and permanent record of the proceedings of the Board, and publishes minutes of meetings as required by law. </li><li>Maintains all records of the Board, and ensures their safekeeping and availability for public inspection in accordance with state law and district policy. </li><li>Coordinates the process of creating and sending agendas for Board of Education meetings. </li><li>Manages the Board of Education calendar. </li><li>Manages workshop and conference registrations for Board of Education. </li><li>Purchases and prepares appreciation gifts (Teacher Appreciation, Board Member Appreciation, Retiree Appreciation). </li><li>Monitors compliance with Open Meetings Act. </li><li>Provides assistance to the administrative team. </li><li>Assists Cabinet members, departments, and schools with state and local compliance processes, and submits reports as needed. </li><li>Monitors legislation to review and update Board policy. </li><li>Maintains the policy manual and submissions for online policies; maintains administrative procedures and forms. </li><li>Proofreads reports prepared by administrators as needed, including Board presentations, memos to the Board and The Author articles. </li><li>Supports the coordination of District events including Parent Learning Community, Parent Advisory Council, Wellness Fair and State of the Villages. </li><li>Reviews fliers submitted for district-wide distribution. </li><li>Supports in monitoring media for news coverage relevant to School District 21. </li></ul> <p>Other Functions:</p> <ul> <li>Notifies Board of Education and Emergency Calling Center for Emergency School Closings. </li><li>Participates in training as required for the purpose of conveying and/or gathering information required to perform job functions. </li><li>Provides assistance to other departments as needed. </li><li>Assumes other duties as assigned. </li></ul> <p>Qualifications</p> <ul> <li>Experience in secretarial functions required </li><li>Formal professional secretarial training preferred </li><li>Preference will be given to the candidate who has demonstrated success and experience in the following areas: </li><li>Displaying technical and organizational skills </li><li>Handling complex and multiple assignments with poise, efficiency, accuracy, and confidentiality </li><li>Displaying very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors </li><li>Demonstrating expert level written and verbal communication skills </li><li>Exhibiting the ability to work effectively independently and as part of a team </li><li>Demonstrating proactive approaches to problem-solving with strong decision-making capability </li><li>Adapting to various competing demands </li><li>Achieving high performance goals and meeting deadlines </li><li>Seeking opportunities and proposing solutions to problems </li><li>Assisting the board and administrators in serving the community </li></ul> <p>Salary/Benefits</p> <p>Position Pay Rate:$46.15</p> <p>Position assignment is from 6/25/2025-9/30/2025 to cover a leave of absence.
