Your organizational skills and dedication will be key in facilitating the VPHR's strategic initiatives and day-to-day activities.</p> <p>Duties and Responsibilities</p> <p>ESSENTIAL DUTIES AND RESPONSIBILITIES:</p> <p>Assist the VPHR in carrying out administrative responsibilities. Research and troubleshoot issues needing resolution.</p> <p>Provide confidential administrative services, including the following: arrange and schedule meetings, both with internal (including staff) and external constituents; manage the Vice President's calendar; prepare and type reports, correspondence, contract proposals, collective bargaining agreements, and related materials; draft and respond to routine correspondence; prepare and maintain spreadsheets and electronic documents.</p> <p>Arrange and schedule grievances, arbitrations, and contract negotiations. Arrange travel for VPHR, prepare and reconcile expense reports.</p> <p>Answer phones, greet visitors, and disseminate information to a diverse constituency. Exhibiting a high degree of tact and sensitivity, deal directly with the public, faculty, staff, and officials (both within and outside the university) on behalf of the Vice President of Human Resources.</p> <p>Prioritize responses to correspondence, phone calls, and various issues, thereby minimizing demands on the Vice President's time, allowing them to focus on broader and more critical issues.</p> <p>In consultation with the VPHR, assist in the preparation, tracking and administration of the department's budget(s). Prepare annual budget for the department. Prepare invoice vouchers for payment internally and from external constituents. Develop and maintain office files and budget records, and ensure their confidentiality.</p> <p>Perform other duties as required.</p> <p>OTHER DUTIES AND RESPONSIBILITIES:</p> <p>Represent the VPHR at meetings when they are not available.</p> <p>LICENSES, TOOLS, AND EQUIPMENT:</p> <p>Personal computers, printers; word processing, spreadsheet, database management software; fax and copying machines; calculator.</p> <p>Required Qualifications</p> <p>REQUIRED:</p> <ul> <li>High school diploma and seven years of progressively responsible experience in the capacity of administrative assistant in a complex professional environment or relevant comparable experience. </li><li>Proven ability to troubleshoot complex issues, problem solve, and triage time-sensitive matters. </li><li>Demonstrated time management and organizational skills in a multiple-priority environment. </li><li>Excellent interpersonal and verbal communication skills with a high degree of diplomacy. </li><li>Demonstrated commitment to fostering a collaborative and inclusive environment. </li><li>Excellent written communication skills, including the ability to draft memos and develop presentations. </li><li>Proven commitment to discretion and to maintaining confidentiality. </li><li>Experience with word processing and spreadsheets. </li><li>Experience with scheduling and database software. </li><li>Proven ability to analyze data. </li><li>Demonstrated ability to work in a culturally diverse environment. </li></ul> <p>Preferred Qualifications</p> <p>PREFERRED:</p> <ul> <li>Associate's degree and five years of relevant experience, or Bachelor's degree and three years of experience. </li><li>Experience managing office budgets. </li><li>Experience in a labor relations environment. </li></ul> <p>_<strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong>__</strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></p> <p>The University of Rhode Island is an equal-opportunity employer committed to the principles of affirmative action.
