<p>Job Description:</p> <p>GENERAL STATEMENT OF DUTIES:</p> <p>In collaboration with and in support of the Director of Alumni Relations, this position coordinates and executes alumni engagement programs, events, and communications for Framingham State University.</p> <p>This role plays a key operational and programmatic support function in advancing the University's alumni engagement strategy. Responsibilities include event execution, communications coordination, alumni affinity group management, volunteer management and CRM/data management. The position supports the University's strategic priorities by ensuring high-quality implementation, consistent communication, and strong constituent experiences.</p> <p>SUPERVISION RECEIVED:</p> <p>Director of Alumni Relations</p> <p>SUPERVISION EXERCISED:</p> <p>May supervise Student Workers and part-time employees</p> <p>EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:</p> <p>Strategic & Programmatic Support</p> <ul> <li>Support the Director of Alumni Relations in the execution of the University's alumni engagement strategy. </li><li>Assist in tracking key performance indicators (KPIs) for events, communications, and engagement initiatives. </li><li>Support collaborative programming with campus departments that connects alumni with academic and student experiences. </li></ul> <p>Event Coordination & Execution</p> <ul> <li>Coordinate and execute alumni events and programs in alignment with University strategy, including logistics, registration, and on-site support. </li><li>Support planning and implementation of signature events (e.g., Alumni Weekend, Homecoming) under the direction of the Director. </li><li>Maintain and update the master calendar of alumni events and communications. </li><li>Supervise and support student workers assisting with events and alumni programs. </li></ul> <p>Affinity Groups & Volunteer Support</p> <ul> <li>Support alumni affinity groups through coordination of communications, meetings, events, and volunteer engagement activities. </li><li>Coordinate logistics and communications for volunteer-led initiatives (e.g., reunion committees, mentorship programs) in partnership with the Director. </li><li>Track participation and engagement metrics for affinity groups and volunteer activities. </li></ul> <p>Communications & Marketing Execution</p> <ul> <li>Draft and coordinate promotional content for alumni events and initiatives, aligned with overall communications strategy set by the Director. </li><li>Assist with the execution of alumni communications, including newsletters, surveys, and targeted outreach. </li><li>Collaborate within the Office of Development and Alumni Relations to ensure timely and consistent messaging. </li></ul> <p>Data Management & Reporting</p> <ul> <li>Utilize the existing Customer Relationship Management CRM system to create invitation and outreach lists, manage event registration and attendance tracking, record alumni engagement and volunteer activity </li><li>Ensure timely and accurate data entry and maintenance. </li></ul> <p>Constituent Services</p> <ul> <li>Provide responsive, professional support to alumni, assisting with inquiries and connecting them to engagement opportunities. </li><li>Support stewardship and recognition efforts for alumni volunteers and participants. </li></ul> <p>General Support</p> <ul> <li>Support department-wide initiatives, projects, and events as needed. </li><li>Perform other duties as assigned. </li><li>Accountable for ensuring that equal opportunity, inclusion, and equity are integrally tied to all actions and decisions in areas of responsibility. </li></ul> <p>WORKING CONDITIONS:</p> <p>Office setting and occasional travel to sites outside of Framingham State University for events. Some evening and weekend work is required.</p> <p>Requirements:</p> <p>MINIMUM QUALIFICATIONS:</p> <ul> <li>1-3 years of experience in alumni relations, advancement, event management or a related field. </li><li>Strong organizational and project management skills. </li><li>Excellent written and verbal communication skills. </li><li>Ability to manage multiple priorities and meet deadlines in a fast-paced environment. </li><li>Demonstrated initiative and ability to work both independently and collaboratively. </li><li>Strong interpersonal skills and ability to build relationships with alumni, volunteers, and colleagues. </li><li>Some evening/weekend work is required. </li></ul> <p>PREFERRED QUALIFICATIONS:</p> <ul> <li>Experience in higher education, nonprofit, or advancement environments. </li><li>Proficiency with CRM systems (e.g., Virtuous, Raiser's Edge, Salesforce). </li><li>Experience supporting volunteer programs, committees, or affinity groups. </li></ul> <p>Additional Information:</p> <p>This is a full-time, exempt, benefits-eligible position in the Association of Professional Administrators (APA) bargaining unit with a union title of Associate Director.
