<p>Job Responsibilities</p> <p>With our Agency's mission to support the recovery of people with mental illnesses, we provide a complete array of medical and support services for children, adults, and families throughout South Carolina.</p> <p>This position is located at the Department of Mental Health, 400 Otarre Parkway Cayce, SC 29033.</p> <p>Under general supervision, the Administrative Coordinator to the HR Director, manages administrative responsibilities of the HR Director's office. Assignments include coordinating multiple concurrent activities, interacting with individuals and groups at most levels in the organization, and assisting the HR Director with HR initiatives, HR communication, and HR policies.</p> <p>Responsibilities include but are not limited to:</p> <ul> <li> <p>Provides administrative support for the HR Director by managing complex schedules, correspondence, coordinating meetings with DMH participants and associates outside the agency; sending out notices, preparing agendas and meeting materials, booking conference rooms; taking, transcribing, and distributing minutes for standard meetings such as the Quarterly HR Staff meeting and other meetings led by the HR Director.</p> </li><li> <p>Responsible for assisting the HR Director in managing and monitoring the HR budget on a monthly basis; ensuring HR Director approves and signs off on invoices and other expenses in a timely manner. Provides administrative assistance with the submission of the HR annual budget plan to the DMH Budget Office, with updates during the budget process.</p> </li><li> <p>Maintains Employee Performance Management System (EPMS/ Performance Review) planning stages and evaluation deadlines for the direct reports of the HR Director to ensure performance reviews are completed on time; assists the HR director in recognizing direct reports' performance through rewards and appreciation efforts.</p> </li><li> <p>Manages and monitors the DMH HR intranet page by coordinating with HR area directors in updating the page with pertinent and timely information and communications; serves as the contact person to work with the IT webmaster for maintenance and service.</p> </li><li> <p>Supports the HR Director in reviewing, updating and implementing HR policies and directives; ensures appropriate reviews and approvals by internal and external reviewers such as Division of State HR, Office of the State Director, and Office of Quality Management/Compliance.</p> </li><li> <p>Assists the HR Director in the preparation of PowerPoint and excel spreadsheets for presentations and reports for various meetings such the State Director and Senior Management, Division of State HR, and various initiatives and projects.</p> </li><li> <p>Screens visitors/phone calls to the HR Director. Serve as a backup to the Office Receptionist.</p> </li></ul> <p>Minimum and Additional Requirements</p> <p>A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.</p> <p>Preferred Qualifications</p> <p>An associate or bachelor's degree with demonstrated experience in handling moderate to complex administrative duties preferred.</p> <p>Bilingual abilities in English and Spanish (or another language) are a plus.</p> <p>Additional Comments</p> <p>Knowledge of agency policies, procedures, rules, regulations and program services. Knowledge of policies, procedures, rules and regulations related to the specific administrative function. Knowledge of governmental fiscal and personnel procedures, practices and policies. Knowledge of modern office practices, procedures and equipment. Ability to coordinate diverse administrative functions. Ability to establish and maintain effective working relationships. Ability to communicate effectively both in oral and written form. Must possess a high level of integrity and can manage highly confidential information. Must be able to lift at least 15-20 pounds. Workload, at times, will be heavy and multi-faceted.
