<p>Description</p> <p>In alignment with the College's mission, this position supports faculty and researchers by identifying and securing external funding opportunities and guiding projects from idea to award. They will proactively search for and match grants, other than those under the direction of Institutional Advancement, to specific disciplines and research priorities, advise faculty on eligibility and competitiveness, and collaborate closely with them to develop, write, and submit strong grant proposals. The grants specialist also helps manage post-award processes, including coordinating the distribution of graduate fellowships funded by grants, ensuring compliance with sponsor requirements, and supporting Institutional Review Board (IRB) submissions by advising on timelines, documentation, and regulatory standards to keep research projects moving forward smoothly and compliantly. This position will also manage the Institutional Review Board and all IRB-related reviews and communications as well as oversees the administration of the Graduate Fellowship and Associateship program and format reviews for all thesis and doctoral dissertations.</p> <p>Actual salaries will vary depending on multiple factors, including but not limited to degrees attained, experience, and other considerations permitted by law. Comprehensive compensation details, including any additional benefits, will be communicated upon finalization of the employment offer.</p> <p>Responsibilities</p> <p>Central administration of Grants and Sponsored Research:</p> <ul> <li>Directs the college-wide administration of grants, sponsored research, and externally-funded projects to faculty, staff, and occasional graduate students pre- and post-award. </li><li>Administers the "Grants Protocol" for College Approval of projects, workload requests, and budgets. </li><li>Prepares e-application system forms. Authorized Signatory for all e-submissions, after College leadership approvals. </li><li>Identifies and manages pre-award compliance and award-negotiations with public agency funder (Federal, State, and City), and the College, in collaboration with the Controller, Accounting, Outside Counsel and other offices as needed. </li><li>Serves as the primary contact, negotiator, and advisor between the College and external funding officers, directly supporting Principal Investigators, Project Directors, and other college offices on post-award matters as needed. </li><li>Proactively search for and match grants, other than those under the direction of Institutional Advancement, to specific disciplines and research priorities, advise faculty on eligibility and competitiveness, and collaborate closely with them to develop, write, and submit strong grant proposals. </li></ul> <p>Research Development and Project Design Assistance:</p> <ul> <li>Mentors and directly assists and writes with prospective and re-applying principal investigators and project directors in all aspects of research and funded-project design, including goal-setting, workplans and timelines, staffing, budgeting, reporting, funder compliance, and sustainability plans. </li><li>Provides professional, direct service support to faculty, professional staff, and occasional graduate students seeking external funding. </li><li>Attends funders' webinar, or similar, sessions and College sponsored-program development meetings with external partners, as needed, to facilitate successful grant seeking and grant administration. </li></ul> <p>Institutional Review Board:</p> <ul> <li>Manages all daily functions of the IRB, including providing administrative support and oversight to the IRB chair and committee. </li><li>Oversees reviewing and evaluating all IRB and IRB change of procedure applications to determine the status of the application and provide a recommended action to IRB chair. Additionally, the director communicates the approved recommended action to the applicant, follows up on incomplete IRB applications, monitor open IRB applications, and closes out IRB active records and update documentation of IRB records following a 1-year active period. </li><li>Schedules semi-annual meetings of the IRB committee and provides materials and data reports for these meetings. </li><li>Maintains and updates IRB webpage guidance and information, and presents on the IRB process for students and faculty as needed. </li><li>Provides support for graduate students completing master's theses and doctoral dissertations. </li><li>Completes basic compliance review and APA edit review of all master's theses and doctoral dissertations. Provides feedback and assistance to students until the final edit process is complete, and coordinates with Library Services staff to facilitate the binding and publication of all theses and dissertations. </li><li>Updates and maintains the Springfield College Thesis and Dissertation Guide. </li><li>Oversees the Graduate Associate and Fellowship program in conjunction with the Provost's Office and Student Employment. This includes annually managing the assignments, tracking, communications, and contracts for about 107 graduate associates and fellows. Handles contracts for Grad Student supplemental instructorships (adjuncts). </li></ul> <p>Trainings, outreach, communications, and reporting:</p> <ul> <li>Shares promising funding opportunities with appropriate faculty, staff, and college leaders. </li><li>Upon invitation, guest lectures at doctoral student classes. </li><li>Communicates new awards. </li><li>Maintains records and reports on college grant activity. </li><li>Maintains the Grants & Sponsored Research Homepage and all affiliated online resources. </li></ul> <p>Professional Development:</p> <ul> <li>Stays current on essential program funding updates, other changes, and new systems regularly issued by funding agencies, including required compliances, and new e-application and e-management systems used by public agencies and private organizations. </li><li>Attends professional association meetings to maintain and expand ongoing capacity to provide services to the College, and to network with, and represent Springfield College to, colleagues at other higher education institutions, including through formal presentations at program meetings. </li></ul> <p>Qualifications</p> <ul> <li>Master's Degree required </li><li>Doctorate Preferred </li><li>Minimum of 3 years work-related experience required </li><li>Quantitative and/or qualitative research background preferred </li></ul> <p>Knowledge, Skills & Abilities</p> <ul> <li>First-hand knowledge, skills, and demonstrated abilities in successful grant writing. </li><li>Experience working on externally-funded projects or programs. </li><li>Some knowledge of different types of funding mechanisms, such as private and public grants, federal, state and city grant contracts and agreements, and foundation gifts. </li><li>Must perform well under deadline pressure, and be able to prioritize competing demands. </li><li>Advanced computer, software, and online system skills to ensure successful electronic submissions. </li><li>Excellent writing, editing, and formatting skills in Word. </li><li>Ability to prepare and/or review grant budgets using Excel, including correcting and verifying formula calculations. </li><li>Familiarity with Adobe Acrobat forms and field editing preferred. </li><li>Requires knowledge of the protection of the rights, welfare, and well being of subjects involved in research. </li><li>Must be knowledgeable about guidelines for the protection of human subjects that is provided by the Office for Human Research Protections (OHRP). </li><li>Requires knowledge of the APA format and the ability to perform general copy editing appropriate for graduate student research. </li><li>Requires the ability to be able to organized and have the ability to manage and track multiple applications that are at various stages of completion </li></ul>
