URI is just 30 minutes from Providence, RI and within easy reach of Newport, Boston, and New York City.</p> <p><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong>____</strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></p> <p>BASIC FUNCTION:</p> <p>Responsible for assisting the Manager, Travel, Travel Card and Expense in the management and oversight of the University of Rhode Island's travel and expense program; promoting adherence to University's travel policies and procedures, on-boarding and training of new employees in the use of the PeopleSoft travel and expense module, promoting the use of the lowest cost transportation and lodging, day to day liaison with the contracted Travel agency to resolve service issues and introduction of new and upgraded products and services that will enhance the University's travel program and user experience.</p> <p>Duties and Responsibilities</p> <p>ESSENTIAL DUTIES AND RESPONSIBILITIES:</p> <p>Daily review and maintenance of the University's traveler profile database for new and terminated employees.</p> <p>Provide subject matter expertise and/or training to internal staff, University staff, and faculty, including researchers, with regards to processing of travel authorizations, travel advances and travel expense reporting, the online travel booking application, allowable travel expenditures, and assisting in clearing errors when necessary.</p> <p>Assist the Manager, Travel, Travel Card and Expense with the overall flow of travel and expenses through the University's accounting system to ensure legitimacy, accuracy, timeliness, and adherence to established University, State, and Federal policies and procedures.</p> <p>Review and analyze travel expenditures for athletic teams ensuring accuracy, policy compliance and cost efficiency. Conduct pre-audit reviews of travel and expense reports to ensure adherence to University, NCAA, and state policies.</p> <p>Identify discrepancies, missing documentation and/or policy violations and work with various stakeholders to resolve issues.</p> <p>Assist with policy interpretation and provide guidance on allowable expenses.</p> <p>Assist the Manager, Travel, Travel Card and Expense on training internal staff and University staff, and faculty, including researchers, on new and existing systems, upgrades to the University's travel/expense systems and any other University, State, or Federal regulations, policies or procedures.</p> <p>Assist the Manager, Travel, Travel Card and Expense on creating and maintaining documentation regarding travel policies, procedures and training.</p> <p>Work with Manager, Travel, Travel Card and Expense to evaluate current travel and expense processes and identify opportunities for automation and improvements in efficiency.</p> <p>Reconcile travel accounts on a monthly basis, and work with department(s) on collection of outstanding advances. Work with Office of Sponsored Projects to reconcile research advances in a timely manner.</p> <p>Provide back up to Manager, Travel, Travel Card and Expense when needed.</p> <p>Occasional work outside of normal business hours may be required to meet deadlines or address urgent travel matters.</p> <p>OTHER DUTIES AND RESPONSIBILITIES:</p> <p>Assist the staff in the Accounting Office when necessary.</p> <p>Perform additional duties as required.</p> <p>LICENSES, TOOLS, AND EQUIPMENT:</p> <p>Personal computers, printers, word processing, database and spreadsheet software. Microsoft Office (including Excel, Word, and PowerPoint)</p> <p>Required Qualifications</p> <p>REQUIRED:</p> <ol> <li> <p>Bachelor's Degree.</p> </li><li> <p>Minimum of two years' work experience with accounting, auditing or as an analyst.</p> </li><li> <p>Demonstrated experience with Microsoft Office (including Excel, Word, and PowerPoint).</p> </li><li> <p>Demonstrated experience with complex financial software systems (e.g. Oracle, PeopleSoft, Workday).</p> </li><li> <p>Demonstrated experience with training and presentations.</p> </li><li> <p>Demonstrated strong interpersonal and verbal communication skills.</p> </li><li> <p>Demonstrated proficiency in written communication skills.</p> </li><li> <p>Demonstrated ability to work with diverse populations/groups.</p> </li></ol> <p>Preferred Qualifications</p> <p>PREFERRED:</p> <ol> <li> <p>Bachelor's or Master's Degree in accounting, finance or business related field.</p> </li><li> <p>Demonstrated experience working in Government, University or Not for Profit organization.</p> </li><li> <p>Demonstrated experience working with a travel and expense reporting software program.</p> </li><li> <p>Demonstrated experience auditing travel reimbursements.</p> </li><li> <p>Demonstrated ability to interpret institutional policies, plans, objectives, rules, and regulations and to communicate the interpretation to others.</p> </li></ol> <p><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong><strong>____</strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></strong></p> <p>The University of Rhode Island is an equal-opportunity employer committed to the principles of affirmative action.
