<p>Job Responsibilities</p> <p>Reporting to the Assistant Vice President for Student Engagement, the Administrative Assistant provides administrative and programming support for Student Engagement, including Campus Programming, Fraternity and Sorority Life, Campus Center Operations, Civic Engagement, Community Engagement, Student Organizations and Leadership.</p> <ul> <li>Provides administrative support to professional staff within the Student Engagement unit. </li><li>Manages the front office, including greeting guests, answering the phone, directing inquiries, and scheduling appointments and meetings. </li><li>Prepares and processes purchase requisitions, travel authorizations, reimbursements, and travel arrangements (e.g., hotel and flight bookings). </li><li>Reconciles procurement paperwork monthly and oversees office supplies and equipment inventory. </li><li>Creates budget and other reports as assigned. </li><li>Provides programming support for student organization events and assists students with new organization registration, annual training, and the student allocation funding process. </li><li>Maintains electronic records of equipment available for student organization use and supports recordkeeping through student engagement platforms and software systems. </li><li>Collaborates with the Student Allocations Administrator to process all Student Allocations Committee (SAC) approved funding requests including both in-kind and fee-based support for more than 100 student organizations. </li><li>Provides logistical and administrative support for signature campus-wide programming sponsored by Student Engagement. </li><li>Provides administrative support in the hiring and onboarding of student employees, graduate associates, and part- and full-time staff. </li></ul> <p>Assists with supervision of student workers, as assigned.</p> <p>Minimum and Additional Requirements</p> <ul> <li>Bachelor's degree; associate's degree and two years of administrative experience; or high school diploma and four years of administrative experience. </li><li>Knowledge of general office management policies, procedures and best practices. </li><li>Ability to comfortably handle basic numerical data analysis and budget reconciliation (e.g. procurement cards, invoices and reimbursements). </li><li>Knowledge of grammatical rules, language usage and spelling. </li><li>Exceptional organizational and customer services skills. </li><li>Exceptional organization skills and the ability to perform/coordinate a variety of concurrent tasks with attention to detail and minimal error. </li><li>Demonstrated ability to prioritize responsibilities and meet deadlines. </li><li>Must be self-motivated, proactive and professional. </li><li>Ability to solve problems and seek additional information when needed to perform duties. </li><li>Familiarity with student engagement and/or program support. </li><li>Effective oral and written communication skills and the ability to handle calls, draft emails, and liaise with students, staff, faculty and the general public. </li><li>Exceptional interpersonal skills and the ability to establish and maintain effective working relationships with students, faculty, staff and the general public. </li><li>Sufficient technical ability to master software required to perform job duties. </li></ul> <p>Preferred Qualifications</p> <ul> <li>Proficiency with the Microsoft Office suite. </li><li>Experience with budgets and software programs associated with financial management. </li></ul> <p>Additional Comments</p> <p>To apply go to https://winthrop.peopleadmin.com/postings/19808.</p> <p>Telecommuting: Employees are not eligible for telecommuting/remote work during their 12-month probationary period.
