This position is responsible for maintaining building security through controlled entry procedures, providing professional customer service, and supporting clerical and administrative functions across multiple departments. This role requires strong organizational skills, attention to detail, confidentiality, and the ability to manage multiple responsibilities while maintaining a welcoming and professional office environment.</p> <p>Key responsibilities including but not limited to:</p> <p>Reception and Front Office Operations</p> <ul> <li>Serve as the primary receptionist for the associated departments as assigned. </li><li>Answer incoming telephone calls promptly and professionally; route calls to appropriate staff members. </li><li>Greet visitors in a courteous and professional manner. </li><li>Monitor and control secure entry to the building, including unlocking doors remotely or allowing entry only after proper identification and purpose verification. </li><li>Maintain visitor logs when required. </li><li>Receive and distribute incoming mail, deliveries, and correspondence. </li><li>Maintain a clean, organized, and professional reception area. </li><li>Provide general information to parents, staff, and the public regarding procedures and services as needed. </li><li>Assist with scheduling appointments and coordinating meetings for departmental staff. </li><li>Monitor office supply inventory and notify supervisors when supplies need replenishment. </li><li>Assist staff members with copying, filing, scanning, and document preparation. </li><li>Maintain inventory records for OT/PT equipment. </li><li>Perform general clerical duties including typing, filing, copying, scanning, and data entry. </li><li>Maintain accurate and organized filing systems, both paper and digital. </li><li>Assist with preparing reports, spreadsheets, and correspondence. </li><li>Maintain strict confidentiality of student and personnel information. </li><li>Assist staff members with administrative tasks as assigned. </li><li>Effectively utilize Microsoft programs and other platforms as needed. </li><li>Travel between schools, school board office, and post office for daily mail and interoffice distributions. </li><li>Manage time and attendance of employees as assigned in the district absence management and time platforms. </li><li>Perform other duties as assigned by supervisors. </li></ul> <p>Department Support</p> <ul> <li>Maintain confidential records in accordance with district policy and state regulations. </li><li>Maintain accurate student address information within the student information system to support bus routing and transportation accuracy. </li><li>Assist with monitoring daily bus operator attendance and documenting absences. </li><li>Contact substitute bus operators to fill vacancies when advanced notice is provided regarding regular operators absences. </li><li>Maintain logs and documentation related to bus operator attendance and substitutions. </li><li>Assist with maintaining transportation records, route documentation, and student transportation lists. </li><li>Respond to parent inquiries regarding transportation schedules and routing, referring complex issues to transportation staff or schools as appropriate. </li><li>Assist with compiling and updating transportation reports and records. </li><li>Assist the Child Welfare and Attendance department in the preparation and distribution of attendance-related correspondence. </li><li>Assist the Child Welfare and Attendance department with maintaining files related to truancy, residency, and attendance interventions. </li><li>Support the Alternative school in communication between parents, alternative school staff, and administrators and teachers. </li><li>Provide clerical assistance for alternative school staff as needed. </li></ul> <p>Pupil Appraisal Support</p> <ul> <li>Assist with clerical functions related to Individualized Education Programs (IEPs), including data entry and document preparation. </li><li>Maintain confidential student records in compliance with applicable laws and district procedures. </li><li>Assist with organizing and filing student records and evaluation documentation. </li><li>Prepare correspondence, notices, and forms for parents related to evaluations, meetings, and services. </li><li>Assist with scheduling evaluation meetings and coordinating communication with parents and staff. </li><li>Scan, upload, and maintain digital records in approved systems. </li><li>Support Pupil Appraisal staff with paperwork processing and tracking timelines. </li></ul>
