WHAT YOU WILL DO:In this role, the Senior Office Specialist will provide comprehensive administrative and operational support to leadership, sales, and customer service teams, ensuring seamless coordination, process efficiency, and exceptional service delivery through the following key responsibilities:Coordinate executive travel arrangements and organize off-site leadership meetings Manage executive calendars and coordinate meetings Leverage AI in meeting documentation - key topics, owners, and action plans Plan and coordinate employee engagement events, holiday parties, and customer appreciation activities in collaboration with the engagement committee. Organize and manage on-site meetings - sales, training, and board meetings. Schedule customer meetings, demonstrations, and follow-up Prepare and support management of commercial documents Track and monitor key commercial metrics ensuring follow-up actions. Organize and maintain critical internal, customer, competitor, and/or market data Maintain checklists for team members to ensure consistent data collection. Identify bottlenecks in administrative and sales processes-recommend solutions. Support rollout of new sales tools, systems, and workflows.Collaboration: Works effectively with diverse teams and departments.Customer Focus: Creates positive experiences for both internal and external customers.Process Orientation: Continuously seeks to improve efficiency and eliminate waste.Confidentiality: Handles sensitive information with care and discretion.Proactive Problem-Solving: Anticipates needs and addresses issues before they escalate.Perform other duties as assigned. YOUR MUST HAVES: Must be 18 years of age or older.High School Diploma or General Education Degree ("GED").5+ years of administrative or operations support experience.Proficient in Microsoft Office Suite, CRM systems (Salesforce preferred), and ERP platforms (D365 experience a plus).Excellent written and verbal communication skills.Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment.Strong attention to detail and accuracy.Perform with level of professionalism, discretion, and confidentiality. WHAT WE PREFER YOU HAVE:Experience coordinating corporate events and customer visits.Familiarity with contract administration and approval workflows.Experience supporting cross-functional teams in sales, operations, or customer service.
