<p>JOB INFORMATION:</p> <p>Job Title: Manager of Records</p> <p>Department(s): 5061 - Administration</p> <p>Location(s): Hutchinson Island</p> <p>FLSA Status: Exempt</p> <p>JOB OVERVIEW:</p> <p>Under the direction of the Director of Administration, the Manager of Records is responsible for supervising and managing the Georgia Ports Authority (GPA) Records Specialists, providing guidance, support, and performance management. This role involves assigning tasks and projects related to records management, open records requests, and third-party vendor program oversight. The Manager ensures compliance with all record retention policies in accordance with Georgia Archive State Records Center requirements, including record preservation and destruction. As the primary point of accountability for open records requests, the Manager ensures timely and accurate responses in accordance with the Georgia Open Records Act. Additionally, this position oversees GPA's internal third-party vendor program and manages the scheduling of food truck services for GPA facilities. Occasional travel may be required for training or compliance-related activities.</p> <p>Upholds the values of the GPA to promote Safety, Integrity, Respect, Community, Creativity and Opportunity. Promotes a safe work environment by participating in safety initiatives and reporting unsafe conditions and behaviors.</p> <p>JOB DUTIES:</p> <ul> <li>Records Management: </li><li>Develop, implement, and maintain GPA's records management policies and procedures in alignment with Georgia Archive State Records Center standards. </li><li>Oversee the organization, storage, retrieval, and proper disposal of records in compliance with legal and regulatory requirements. </li><li>Ensure adherence to federal, state, and local regulations concerning document retention and destruction. </li><li>Provide training and guidance to internal departments on records management, best practices and regulatory compliance. </li><li>Open Records Requests: </li><li>Serve as the primary point of contact for all open records requests. </li><li>Review and process requests in compliance with the Georgia Open Records Act (O.C.G.A. § 50-18-70). </li><li>Collaborate with legal counsel and relevant departments to ensure accurate and timely responses to requests. </li><li>Maintain thorough records of requests and responses to ensure transparency and regulatory compliance. </li><li>Third-Party Vendor Program Oversight: </li><li>Manage and oversee GPA's third-party vendor program, ensuring compliance with GPA's regulatory requirements. </li><li>Coordinate the onboarding, documentation, and performance monitoring of vendors. </li><li>Act as the liaison between GPA departments and third-party vendors to ensure smooth operations and compliance with policies. </li><li>Food Truck Scheduling: </li><li>Oversee and coordinate food truck scheduling for GPA facilities. </li><li>Ensure vendors comply with health and safety regulations, including conducting site visits as necessary. </li><li>Communicate schedules and updates to employees and stakeholders </li></ul> <p>JOB REQUIREMENTS:</p> <p>Knowledge, Skills, & Abilities</p> <p>Knowledge of Georgia records retention laws and the Georgia Open Records Act.Strong organizational and analytical skills with attention to detail.Excellent verbal and written communication skills.Ability to handle sensitive information with confidentiality and discretion.Experience managing third-party vendors and coordinating external partnerships.Proficiency in records management software.</p> <p>Experience</p> <p>4-6 years Experience in records management, compliance, or a related field.
