<p>Reports To: Director of Technology</p> <p>Classification: Classified/Non-Exempt</p> <p>General Description</p> <p>The Administrative Assistant for Technology Operations serves as a vital partner in the mission to modernize the school district. This role transitions beyond traditional clerical duties to act as a catalyst for efficiency, managing complex purchasing processes, and piloting new departmental workflows. The ideal candidate is a proactive problem-solver who thrives in an environment of change and is committed to establishing best-in-class administrative standards that can be modeled across the entire district.</p> <p>Essential Functions & Responsibilities</p> <ol> <li>Strategic Procurement & Compliance </li></ol> <ul> <li>Manage the end-to-end purchasing process for all technology hardware, software, and services. </li><li>Ensure all financial transactions and procurement activities strictly adhere to district policies, state statutes, and federal requirements (including E-rate and grant compliance). </li><li>Compliance & Reporting: Coordinate yearly documentation for mandated training and regulatory requirements (e.g., CIPA, ITSP-1, and E-rate). </li><li>Specialized Analysis: Provide data and cost analysis for district-wide foundations and educational partners as needed. </li></ul> <ol start="2"> <li>Operational Support & Coordination </li></ol> <ul> <li>Strategic Communication: Coordinate and communicate department expectations and initiatives as directed by leadership. </li><li>Asset & Approval Management: Maintain the official approved hardware/software registers and facilitate the vetting process for new application requests. </li><li>Service Operations: Assist in the maintenance and processing of Help Desk orders to ensure timely resolution of technology needs. </li><li>Financial Tracking: Monitor and process documentation for departmental travel expenditures and reimbursements. </li></ul> <ol start="3"> <li>Process Innovation & Best Practices </li></ol> <ul> <li>Actively participate in the "Beta Testing" of new administrative processes, software, and workflows within the Tech Department. </li><li>Develop and maintain comprehensive Standard Operating Procedures (SOPs) for departmental tasks. </li><li>Serve as a resource and model for other district departments by demonstrating streamlined administrative "best practices." </li></ul> <ol start="4"> <li>Data Management & Spreadsheets </li></ol> <ul> <li>Utilize advanced spreadsheet functions (Google Sheets/Excel) to track budgets, inventory levels, and project timelines. </li><li>Generate reports that provide data-driven insights into departmental spending and operational efficiency. </li><li>Be willing to continuously learn and master new data management tools as they are introduced. </li></ul> <p>Qualifications & Skills</p> <p>Requirement Category</p> <p>Specific Skill/Experience</p> <p>Technical Proficiency</p> <p>Strong proficiency in Google Workspace, with a specific emphasis on Google Sheets (formulas, data organization).</p> <p>Adaptability</p> <p>Proven ability to remain flexible and positive in a rapidly changing work environment.</p> <p>Communication</p> <p>Excellent written and verbal communication skills for interacting with district staff and outside vendors.</p> <p>Experience</p> <p>Previous experience in bookkeeping, purchasing, or administrative support (educational setting preferred).</p> <p>Core Competencies</p> <ul> <li>Growth Mindset: A desire to learn new systems and help the district evolve. </li><li>Attention to Detail: Ensuring accuracy in financial compliance and documentation. </li><li>Leadership: Taking initiative to improve processes without being prompted. </li></ul> <p>Contract Days: 230</p> <p>Start Date: As soon as filled</p>
