<p>Posting Details</p> <p>Position Information</p> <p>Job Title Administrative Assistant I Posting Number S1537P Pay Range</p> <p>The compensation for this appointment will range from $68,640 annually and reflects what California Baptist University reasonably expects to pay for this staff appointment. Actual compensation may vary based on the qualifications and experience of the applicant, as well as market conditions. In addition to wages, CBU offers a robust suite of employee benefits.</p> <p>Position Summary Information</p> <p>Summary</p> <p>Under general supervision, provides administrative, project and executive support to the office of the Vice President of University Advancement. Oversees and coordinates the day-to-day activities of University Advancement, and serves as the principal point of administrative contact and liaison with internal constituencies. May provide specialist services in the areas of general business administration by performing the following duties.</p> <p>Essential Duties and Responsibilities</p> <p>Include the following. Other duties may be assigned.</p> <ul> <li>Serves as administrative contact and liaison with other offices, individuals, and institutions. Coordinates and attends committee meetings as needed. </li><li>Oversees and administers the day-to-day activities of University Advancement (UA). Develops and follows policies, procedures, and systems which ensure productive and efficient office operations. </li><li>Prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature. </li><li>Manages the Vice President's calendar and independently schedules appointments. </li><li>Answers and screens the Vice President's telephone calls and correspondence, and responds independently when appropriate. </li><li>Acts as the custodian of corporate documents and records for University Advancement. </li><li>Maintains the division budget and processes weekly requisitions. </li><li>Creates and maintains databases and spreadsheets, as needed. </li><li>Arranges UA Team meetings and donor lunches by arranging for facilities and catering, issuing information or invitations, and coordinating speakers. </li><li>Assists the Vice President on specific projects. </li><li>Assists the Vice President with the maintenance of all contracts/agreements with outside vendors. </li><li>Organizes and maintains the file system, and files correspondence and other records as appropriate. </li><li>Arranges and coordinates travel schedules and reservations for the Vice President. </li><li>Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings if needed. </li><li>Prepares outgoing mail and correspondence, including e-mail and other forms of communication. </li><li>Orders and maintains supplies. </li><li>Arranges for equipment maintenance. </li><li>Maintains the Vice President's filing system specific to programs and projects. </li><li>Responsible for the development and updating of a weekly work plan for the Vice President. </li></ul> <p>Supervisory Responsibilities</p> <p>Directly supervises the Coordinator of Signature Events and student worker positions. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing and training employees; planning, assigning, and directing work; appraising performance; disciplining employees; addressing complaints and resolving problems.</p> <p>Other Knowledge Skills and Abilities</p> <p>To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.</p> <ul> <li>Demonstrated ability and willingness to live and uphold the University's Christ-centered mission and values. </li><li>Skill in the use of personal computers and related software applications. </li><li>Ability to coordinate and organize meetings and/or special events. </li><li>Ability to travel and work nights and weekends as necessary. </li><li>Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues. </li><li>A thorough knowledge of Business English and arithmetic, general office methods, procedures, and practices. </li><li>Ability to plan, develop, and coordinate multiple projects. </li><li>Ability to read and write at a level appropriate to the duties of the position. </li><li>Ability to use independent judgment and to manage and impart confidential information. </li><li>Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff, and student body. </li><li>Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments. </li><li>Knowledge of standard budgeting and expenditure control procedures and documentation. </li><li>Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures </li><li>Ability to develop and maintain recordkeeping systems and procedures. </li><li>Ability to resolve customer complaints and concerns. </li></ul> <p>PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is regularly required to stand; walk; sit; and requires sufficient hand, arm, and finger dexterity to operate a computer keyboard or other office equipment. Requires visual acuity to read words and numbers and speaking and hearing ability sufficient to communicate in person or over the phone. The employee must occasionally lift and/or move up to 15 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</p> <p>WORK ENVIRONMENT: The work environment characteristics described here are representative of those employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate.
