Only completed/submitted online applications with supporting documents will be screened.</p> <p>Position Type: Secretarial / Clerical</p> <p>Date Posted: April 27, 2026</p> <p>Location: Woodland Educational Support Center</p> <p>Date Available: June 1, 2026</p> <p>PRIMARY FUNCTION: To assist the Associate Superintendent of Educational Services to plan, initiate and carry to completion all administrative activities related to achieving and maintaining the best possible educational programs and support services for the District.</p> <p>QUALIFICATIONS:</p> <ul> <li> <p>License: N/A</p> </li><li> <p>Education:</p> </li><li> <p>Required High School Diploma or equivalent</p> </li><li> <p>Preferred Associate's Degree</p> </li><li> <p>Experience:</p> </li><li> <p>Required Five (5) years experience in an administrative assistant capacity. Experience working with confidential information.</p> </li><li> <p>Preferred Five (5) years experience in an administrative assistant capacity. Experience working with confidential information in a public school setting.</p> </li></ul> <p>ESSENTIAL PERFORMANCE RESPONSIBILITIES:</p> <p>Administrative Assistant:</p> <ul> <li>Assists with preparing, assembling, organizing, and maintaining confidential proposals and/or related confidential data for use by the Board of Education, Administration and Board negotiation team in connection with collective bargaining, contract administration and management policies regarding labor relations. </li><li>Maintains confidential files for the Associate Superintendent of Educational Services' office. </li><li>Maintains a schedule of appointments, manages the Associate Superintendent of Educational services' calendar, and makes arrangements for meetings, conferences, and travel. </li><li>Assists with state, federal and local compliance matters. </li><li>Coordinates matters and correspondence related to labor and union relations. </li><li>Monitors, stores, and responds (when appropriate or directed to) all electronic, verbal and written correspondence to the Associate Superintendent of Educational Services Office. </li><li>Performs all financial tasks associated with the specific position. </li><li>Maintains confidential material related to the District Complaint Manager investigations. </li><li>Assists with compiling and distributing the District Crisis Plan and the Parent Student Handbook. </li><li>Assists with all functions related to the McKinney Vento Homeless Assistance Act. </li><li>Assists with all functions related to the Illinois School Students Records Act. </li><li>Assists as needed with all functions related to Home/Hospital Services and Homebound Instruction. </li><li>Maintains the necessary confidential data and reports to be used in negotiations. </li><li>Maintains the administrative folders and forms on district shared network drives. </li><li>Performs such other tasks and assumes such other responsibilities as may be assigned by the Associate Superintendent of Educational Services or designee. </li></ul> <p>Student Records:</p> <ul> <li>Creates and maintains all files for students with disabilities including but not limited to organization of files, related services files, individualized education plans (IEP), 504 plans, evaluation team reports; ensure that all signature pages for these documents are obtained and filed; ensure documents are complete prior to filing. </li><li>Processes incoming records; uploads them to the appropriate database; distributes all necessary documents to staff as needed and upon request. </li><li>Processes requests for records from outside the school district in a timely manner. </li><li>Prepares eighth grade records for transfer to the high schools. </li><li>Performs confidential file notification and destruction in accordance with district policies and procedures. </li><li>Sends all meeting notifications to parents/guardians in a timely and compliant manner. </li><li>Locates and schedules interpreters for student meetings as needed. </li><li>Inputs individualized special education information into the district's student management system. </li><li>Secures confidential student files. </li><li>Supports records management for students with disabilities and early childhood students who enter and exit the district. </li><li>Maintains supply inventory needed for student files; distributes supplies to staff upon request. </li></ul> <p>OTHER PERFORMANCE RESPONSIBILITIES:</p> <ul> <li>Serve as backup for other department staff members as needed. </li><li>Perform other tasks and duties as assigned by the Associate Superintendent of Educational Services or designee. </li><li>Assist in other areas as needed. </li></ul> <p>KNOWLEDGE, SKILLS AND ABILITIES:</p> <p>Technical: Must be able to use the district email system, Google platforms, Microsoft Office, state and federal reporting systems, student and business office management systems, and the district's employee attendance system.</p> <p>Interpersonal: Ability to develop and maintain positive relationships with staff, parents, students, businesses and community. Must have strong organizational, written and verbal communication and interpersonal skills; and a strong sense of teamwork. Must be able to meet deadlines; make difficult decisions that impact the organization in a positive manner; exceptional attention to detail; strong organizational, time management, and problem-solving skills; ability to prioritize; self-starter and driven; work harmoniously with the community, students, parents, staff, and administration; communicate effectively with students, parents and staff; exhibit sound judgment in dealing with people; and follow directives given by Administration. Must be able to travel to other schools and locations as needed. Must be available evenings and weekends as needed.</p> <p>Working Conditions: Some exposure to definitely disagreeable elements may exist, i.e., temperature changes, use of steps/stairs, walking long distances throughout the building, etc.</p> <p>TERMS OF EMPLOYMENT: Full-time, 260-Day exempt, non-union position.</p> <p>SALARY RANGE: $55,000 - $65,000.
