<p>Skin Pharm was built on the belief that when we take care, we feel confident. From our treatments and clinical product line to each team member we hire, every aspect of our brand empowers others to feel good in their skin. As we continue to grow, we're looking for a full-time New Clinic Coordinator to help support and streamline clinic openings across the country!</p> <p>The New Clinic Coordinator plays a vital role in bringing new Skin Pharm clinics to life. You'll work closely with our operations, finance, marketing and leadership teams to ensure every new clinic is fully stocked, set up and supported before opening day.</p> <p>Your main responsibilities will include placing pre-opening supply and equipment orders, managing delivery timelines, coordinating with vendors, reconciling invoices, and creating accounts and systems needed to launch new clinics efficiently and consistently. You'll also help identify and refine scalable systems as Skin Pharm continues to expand.</p> <p>Additional duties may include preparing onboarding kits, supporting technology setup, building inventory spreadsheets and keeping detailed records of purchases and logistics to ensure nothing slips through the cracks.</p> <p>You're a natural organizer who loves a checklist and thrives in a fast-paced, ever-changing environment. You take initiative, solve problems quickly and are always thinking a few steps ahead. You're detail-oriented, deadline-driven and able to manage multiple projects at once with a calm and positive attitude.</p> <p>You must have strong communication skills, both written and verbal, and be comfortable working across teams. You should also be proficient in Microsoft Excel and Google Workspace, and familiar with project management platforms (like Asana or Monday.com). Prior experience in logistics, purchasing, clinic operations or project coordination is a plus.</p> <p>A passion for the aesthetic or wellness space is preferred - and an interest in building systems that scale is a major bonus!</p> <p>Key Responsibilities</p> <ul> <li> <p>Operation:</p> </li><li> <p>Create and maintain a detailed master clinic opening checklist</p> </li><li> <p>Place all pre-opening orders for supplies, equipment, and furnishing</p> </li><li> <p>Coordinate delivery schedules and ensure timely arrival of all supplies + equipment.</p> </li><li> <p>Create and manage vendor accounts and maintain accurate accounting records.</p> </li><li> <p>Reconcile pre-opening invoices and work with accounting- ramp</p> </li><li> <p>Track and organize inventory for new clinics (products, devices,, etc.)</p> </li><li> <p>Prepare and assemble clinic startup kits (front office, treatment rooms, provider medical supplies)</p> </li><li> <p>Set up accounts for disposal + set up lab spaces according to protocol (sharps disposal and shredding.)</p> </li><li> <p>Align with marketing on signage, local print materials, and launch event prep</p> </li><li> <p>Ensure all compliance and regulatory standards are met (OSHA, medical waste, local licenses)</p> </li><li> <p>Support basic tech setup and clinic systems prior to launch</p> </li><li> <p>Security setup</p> </li><li> <p>Ensure all systems are tested and operational (Wi-Fi, phones, EMR access, BLVD, etc.)</p> </li><li> <p>Create repeatable processes and checklists for future openings.</p> </li><li> <p>Identify opportunities to improve efficiency and scalability as we grow</p> </li><li> <p>Maintain accurate documentation and project timelines for each new clinic</p> </li><li> <p>Travel as needed to support onsite setup.</p> </li><li> <p>Real Estate/ Development:</p> </li><li> <p>Partner with real estate and construction teams to monitor progress and flag any delays or incomplete GC checklist items to Sr. Dr. and Project Manager.</p> </li><li> <p>Attend or coordinate final walkthroughs and inspections (virtually or in-person as needed by team)</p> </li><li> <p>Coordinate delivery and assembly of clinic furniture, equipment, decor, and signage</p> </li><li> <p>Track and report expenses to ensure alignment with clinic opening budget</p> </li><li> <p>Support opening-week logistics (orientation, vendor deliveries, overflow support, etc.)</p> </li></ul> <p>At the heart of our team is a commitment to your well-being, growth and happiness.
