Discover your opportunities at Yale!</p> <p>Salary Range</p> <p>$68,000.00 - $120,500.00</p> <p>Overview</p> <p>Reporting to the Dean of the School of Architecture and serving as a member of the operational and strategic leadership team, this position is responsible for directing all facets of the administration and operations of the Office of the Dean. The role ensures the efficient management of workflows, people, and information across the Dean's office and acts as a key liaison on behalf of the Dean in interactions with other Yale offices, academic leaders, faculty, staff, students, alumni, dignitaries, and other visitors.</p> <p>The incumbent will also lead the coordination and administration of faculty recruitment, promotion, and leave processes in accordance with university policies. Additionally, the incumbent will design and implement a comprehensive onboarding and orientation program to support new faculty. This position will be responsible for maintaining accurate faculty data and will supervise the preparation and distribution of annual appointment letters for approximately 150 faculty members.</p> <p>Principal Responsibilities:</p> <ol> <li> <p>Serves as a confidential resource to and liaison for the Dean. With highly developed tact, discretion and judgment handles the disposition/resolution of complex/sensitive situations. Provides information, direction and assistance to members of the Yale community and individuals and organizations external to the university. Anticipates requests for the Dean's time from a variety of sources, including School and University offices/departments and outside organizations, ensuring the Dean's time is directed to the highest-priority activities.</p> </li><li> <p>Participates in key constituent meetings; works closely with the senior management team to ensure communication and follow-through with various projects and initiatives. Manages projects for the Dean's office as required.</p> </li><li> <p>Plans, directs and manages all administrative functions of the Dean's Office, including management of the Dean's calendar, screening correspondence, and preparation of reports, nominations, recommendations, and other materials as required to meet the Dean's commitments. Serves as liaison with various Yale offices for annual activities (e.g., orientation, reunions, Commencement) and other events.</p> </li><li> <p>Designs and implements policies, procedures, and systems to enhance office production and efficiency, including tracking systems for workflow.</p> </li><li> <p>Determines priorities, standards, and parameters of work to be accomplished.</p> </li><li> <p>May manage M&P and C&T staff members.</p> </li></ol> <p>Required Skills and Abilities</p> <ol> <li> <p>Bachelor's degree and a minimum of three years of related experience, including demonstrated leadership, project or process management and prior supervisory experience; or an equivalent combination of education and experience.</p> </li><li> <p>A high level of discretion, organizational acumen, and superior interpersonal skills.</p> </li><li> <p>Ability to prioritize work, handle complex and multiple work assignments, achieve high quality outcomes, and meet deadlines.</p> </li><li> <p>Ability to maintain confidentiality and handle sensitive matters with discretion and professionalism.</p> </li></ol> <p>Preferred Skills and Abilities</p> <ol> <li>Proven experience in a similar executive support role. </li></ol> <p>Principal Responsibilities</p> <ol> <li>Supervises the administrative functions of the office with responsibility for the training and development for a minimum of two full time staff members. 2. Ensures communication with various projects and initiatives in a timely and efficient manner. Researches information on a wide variety of topics and events requiring contact with university officials, faculty, etc. Prepares and contributes to the preparation of reports, briefings, presentations and responses on strategic initiatives as appropriate. 3. Analyzes and manages sensitive issues for the office, exhibiting a high degree of discretion and confidentiality. 4. Reads through various contracts/agreements, summarizes key terms, and tracks compliance with those terms. 5. Determines office priorities and secures temporary help as necessary. Designs and implements policies, procedures and systems to enhance office production and efficiency. 6. Oversees the preparation of correspondence, reports, nominations, recommendations, and other materials. 7. Conducts budgetary and cost analyses on office activities. Supervises financial activities and develops systems for tracking expenditures. Reviews and reconciles administrative budget and prepares and monitors financial data. 8. Manages calendars and prioritizes activities. Ensures calendar flexibility. 9. Ensures meeting materials, presentations, speeches, etc. are prepared in advance and that preparations for all future calendar events are on schedule. 10. Oversees the coordination of events and special projects for the office. 11. May perform other duties as assigned.
