<p>Position: Site Services Manager</p> <p>Roles and Responsibilities</p> <p>Our Site Services Manager directs the day-to-day operations for the Brentwood Office and has management oversight of our regional office in Tempe, Arizona. Additional areas of responsibility will include vendor management and long-term space planning. This position requires a hands-on approach with a demonstrated ability to work collaboratively in a fast-paced environment.</p> <p>Facility Operations</p> <ul> <li>Conduct daily walk-throughs to identify areas needing urgent attention. Properly escalate areas of concern to appropriate point of contact. </li><li>Serve as primary liaison between the company and building management, (e.g., repairs and maintenance, building safety and code compliance, etc.) including overseeing all facility-related requests and work orders to completion and keeping management team updated on progress. </li><li>Meeting Preparation: Collaborate proactively with needs of training team for new employee orientation, directing staff and/or handling the logistics, coordination with needed vendors, and providing support internally for the execution of all scheduled events. Meeting preparation also includes planning for board meetings, executive/client visits, team meetings, and collaborating with HR for company celebrations. </li><li>Maintain standard office equipment, and furniture and fixtures. Plan and coordinate office improvements, and furniture installations. Create demand plan for repairs and maintenance. Ensure office space is productive and comfortable for our employees. </li><li>Implement PAR-levels for common items and complete supply orders sufficient to maintain adequate supply. Interact regularly with all internal departments to make sure supplies are available. </li><li>Manage facility operations for Tempe office, including managing the Office Coordinator position. Travel to the office will be scheduled as needed. </li><li>Resolve internal facilities-related requests through internal tracking system (e.g.: Fresh Service, Service Now, etc.). </li></ul> <p>Vendor Management</p> <ul> <li>Proactively manage all building and breakroom vendor relationships, making sure the contracted Service Level Agreements and expectations of our vendor relationships are being met. </li><li>Interact professionally with all vendors and contract partners and hold them accountable for expected deliverables. Review vendor invoices for accuracy. </li><li>Provide daily supervision of Day Porter vendor in Brentwood Facility. Establish task list, and work with corporate leadership on cleaning schedule. </li></ul> <p>Space Planning and Inventory Management</p> <ul> <li>Coordinate space planning and seat mapping processes, working closely with HR to understand patterns of department growth and attrition, update nameplates, and coordinate internal moves. </li><li>Coordinate new hire/separated employee desk setups; work closely with IT and operations teams to make sure returned equipment is accounted for. </li><li>Oversee our safety procedures such as stocking our first aid kits, AEDs, working with our building management and corporate staff on the schedule for fire drills, and ensuring our exit plans are current. </li><li>Assist SVP Finance with planning future site expansion, including vendor selection, project management, and budget tracking. </li></ul> <p>Position Requirements</p> <ul> <li>5-7 years of related experience, with understanding of facilities planning, basic building design and construction, and best practices and procedures. </li><li>3 + years of demonstrated success providing facility management services to both internal and external stakeholders at all levels of an organization to include the executive leadership team. </li><li>Previous experience in a people management position strongly preferred. </li><li>Ability to prioritize urgent requests and use critical thinking skills to adjust direction when needed. Utilize strong problem solving and analytical skills, judgment, and personal initiative to work independently. </li><li>Perform duties with confidentiality and discretion.
