<p>The Academic and Financial Operations Coordinator plays a vital cross-functional role, supporting the Department of Drama (60%) and the College of Visual and Performing Arts Office of Budget and Operations (40%) at Syracuse University. This position is responsible for ensuring smooth academic and operational processes within the Drama department while providing general financial and operational support for college-wide initiatives. In Drama, the coordinator partners with faculty, staff, and administrative colleagues to support departmental programming, student engagement, guest artist logistics, and financial transactions. The role involves both independent execution and collaborative problem-solving in a dynamic, production-oriented academic environment that includes close partnership with Syracuse Stage.</p> <p>Within the Office of Budget and Operations, the coordinator contributes to a variety of fiscal and operational functions that promote financial accountability, resource efficiency, and alignment with strategic college goals. The ideal candidate is detail-oriented, highly organized, and comfortable navigating complex administrative systems with professionalism and discretion. This position presents a unique opportunity to work at the intersection of the arts, academia, and administration.</p> <p>This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.</p> <p>Education and Experience</p> <ul> <li>Associate degree or equivalent experience. </li><li>3 plus years of experience in administrative, academic, or financial support, preferably in higher education or a creative/performing arts environment. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Strong proficiency in Microsoft Office (especially Excel), and familiarity with institutional platforms such as PeopleSoft or MySlice. </li><li>High attention to detail, with strong organizational and project coordination skills. </li><li>Excellent written and verbal communication skills; able to work professionally with a variety of stakeholders. </li><li>Ability to manage multiple responsibilities with flexibility and a proactive mindset. </li><li>Strong commitment to confidentiality, equity, and collaborative team environments. </li></ul> <p>Responsibilities</p> <p>Department of Drama Administrative & Academic Support</p> <ul> <li>Provide overall administrative support to the Chair, Associate Chair, faculty, and students in collaboration with department staff, with a focus on finance and facilities. </li><li>Assist with processing and tracking departmental financial transactions, including purchases, reimbursements, and invoice submissions, in compliance with university policies. </li><li>Provide accurate, up-to-date, and well organized financial information to the Chair as requested, in order to support departmental planning. </li><li>Submit and monitor additional pay requests for part-time faculty, guest artists, and staff. </li><li>Coordinate procurement of supplies, materials, and services to support department operations and programming, working closely with the Office of Budget and Operations as necessary. </li><li>Submit search and hiring proposals for part-time instructors at the direction of the Chair. </li><li>Support onboarding processes for new faculty, staff, and guest artists, including travel and logistical coordination. </li><li>Maintain departmental records and assist with internal reporting or documentation needs. </li><li>Respond to general inquiries from students, faculty, and visitors, ensuring a professional and supportive environment. </li></ul> <p>Department of Drama Student & Guest Artist Engagement</p> <ul> <li>Assist with coordination of student-facing activities including entrance auditions, admitted student visits, and recruitment events. </li><li>Collaborate on the planning and facilitation of guest artist residencies, including communications, documentation, and logistics. </li><li>Serve as a resource for student employees and supervise their day-to-day assignments and </li></ul> <p>Department of Drama Operations & Event Support</p> <ul> <li>Partner with appropriate VPA and University personnel to ensure that instructional spaces are functional and well-maintained. </li><li>Coordinate with Syracuse Stage and other partners on the use of shared rehearsal and performance spaces. </li><li>Partner with Syracuse Stage staff to ensure facility needs are reported and resolved in a timely manner, staying abreast of any issues through effective communication with all constituents. </li><li>Support the execution of departmental events, special projects, and seasonal programming needs. </li><li>Help implement process improvements and operational efficiencies within the department as needs evolve. </li></ul> <p>VPA General Financial & Operations Support</p> <ul> <li>Assist with processing, tracking, and reconciling financial transactions across college-level accounts, including operating, restricted, and endowed funds. </li><li>Prepare supporting materials and documentation for internal reports, budget planning, and project summaries. </li><li>Support ongoing review of financial data and help identify variances or follow-up needs in collaboration with the college budget team. </li><li>Contribute to shared operational projects such as supply orders, shared services tracking, or resource coordination across academic units. </li><li>Participate in cross-functional initiatives that support financial transparency, strategic resource planning, and administrative improvements. </li><li>Assist in developing and maintaining internal tools and systems that streamline financial workflows and reporting processes. </li></ul> <p>Physical Requirements</p> <p>Not Applicable</p> <p>Tools/Equipment</p> <p>Not Applicable</p> <p>Application Instructions</p> <p>In addition to completing an online application, please attach a resume and cover letter.</p>
