<p>Summary:</p> <p>The Cosmetic Coordinator reports to the Practice Manger and is responsible for the overall coordination of all cosmetic service under the plastic surgery division. Contacts patients from a referral list to offer and schedule additional services.</p> <p>Responsibilities:</p> <p>Demonstrates competency individually and as part of the team in performing surgical evaluation coordination follow-up pricing updating pricing and collecting for ALL cosmetic procedures including surgical laser injections and products. Demonstrates discretion when interacting with patients.</p> <p>Instrumental in marketing the department services and products at all times including to other medical practice community outreach programs departmental and employee gathering and all other marketing opportunities. Use the tools available to communicate with current and potential clientele for all cosmetic services</p> <p>Responsible for the growth of grow the cosmetic line of business and achieving budgeted sales goals with the directions and support of the Plastic Surgery leadership.</p> <p>Coordinates with surgical scheduler for patients elective surgeries for the physician practice in addition to the residents and the nursing staff under the guidelines established by the hospital(s).</p> <p>Maintain an up-to-date list of all cosmetic procedures prices for attending and resident; maintain a communication with all staff resident and attending with any changes in prices. This includes list of all retail products in addition to all injections provided by the attending and the nursing staff.</p> <p>Monitor and control inventory for all products and injectables on a weekly and monthly bases.</p> <p>Report to the Chief of the department with any clinical issue that have impact on the patient?s outcome and report to the director with any price discounts that are not under the department guidelines.</p> <p>Actively seek current knowledge of the cosmetic industry from pricing to products to new providers and ventures as well as maintaining knowledge of the current practice management and the EMR software.</p> <p>Maintain a high level of customer service to establish and enhance positive relationships with patients co-workers and providers. Regularly provide feedback to staff with coordination of the department leadership to improve services.</p> <p>Create update and maintain a portfolio for each plastic surgeon to be used for reference by patients as a marketing brochure/pamphlet. Maintain marketing materials for patient handouts and mailing and provide marketing department with updates need for Website and search engines.</p> <p>Work in collaboration with the all office staff and different locations plastic surgery residents and all attending to achieve the ultimate patient experience for our cosmetic service.</p> <p>Coordinate surgeries for new start-up surgeon</p> <p>? Providing patients with quotes and pre op instructions</p> <p>? Knowledge of all surgical procedures and requirements for OR time</p> <p>? Knowledge</p> <p>? Scheduling ED FUs reviewing schedule for appropriate patients</p> <p>? Prior Authorizations for patients going for surgery from insurance</p> <p>? Entering cases into EPIC</p> <p>? Scan and faxing for Dr. Roussel (surgical paperwork)</p> <p>Laser/Aesthetic Center Operations</p> <p>o Assist with monthly agenda for staff and provider meetings</p> <p>o Nurse Aesthetician Support</p> <p>? Assisting Susan & Micheline with any additional needs to run clinic smoothly</p> <p>? Entering paid procedures on invoice after nurse?s review encounters</p> <p>? Monthly supply orders for injectables threads peels retail products etc. and retail products</p> <p>? Coordinating monthly staff orders for Zo Skin Health (collecting orders signatures and payments from each employee)</p> <p>? Approve Invoices / Following up with AP on unpaid invoices</p> <p>o Coordinating times for other providers in Plastic Surgery to use the Laser and Aesthetic office (being sure no laser clinics interfere with others)</p> <p>o Getting new vendors set up within people soft system</p> <p>? Working with new vendors to coordinate prices for new procedures</p> <p>o Coordinating with vendor to schedule rented laser days</p> <p>o Meeting with reps</p> <p>o Scheduling training times for providers and office staff</p> <p>o Coordinating laser/HydraFacial repairs when needed</p> <p>o Updating cosmetic pricing ? send CDM requests for Approval and manage and update Cosmetic Pricing List as appropriate</p> <p>o Provide monthly quarterly reports</p> <p>? Monthly inventory on injectables and retail products (checking expiration dates)</p> <p>? Monthly report on products sold by provider</p> <p>Performs other related duties as assigned.</p> <p>Other information:</p> <p>BASIC KNOWLEDGE:</p> <p>High school diploma or equivalent required.</p> <p>Associate?s degree in Business management or related field preferred.</p> <p>Proficient personal computer skills.</p> <p>Retail sales experience helpful.</p> <p>Must demonstrate excellent written and oral communication skills as well as effective prioritization and organization.</p> <p>Knowledge of medical terminology.</p> <p>Demonstrates knowledge and skills necessary to provide care to patients throughout the life span with consideration of aging processes human development stages and sensitivity to cultural diversity in each step of the care process.</p> <p>EXPERIENCE:</p> <p>Minimum of 2 years experience as a surgical physician?s office.</p> <p>Familiarity with medical office procedures terminology and surgical scheduling preferred.</p> <p>Experience should demonstrate effective organizational leadership and communications skills and willingness to function as resource to the practice staff.</p> <p>WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:</p> <p>Healthcare environment such as acute care hospitals physician offices and ancillary healthcare enterprises.</p> <p>Works with medical equipment and has direct patient contact.</p> <p>Any potential hazards are minimized by adherence to established safety procedures and precautions including use safety equipment and protective clothing.</p> <p>Brown University Health is an Equal Opportunity employer.
