Discover your opportunities at Yale!</p> <p>Overview</p> <p>The Senior Administrative Assistant is the assistant for the Chief of Infectious Diseases and provides high-level, complex, and confidential administrative support within the Section. This role serves as the principal source of information for administrative support staff, overseeing work processes, schedules, and task coordination. Responsibilities include managing schedules, organizing meetings, coordinating travel, overseeing faculty appointments, and processing expenses. The assistant acts as the primary point of contact for internal and external inquiries, maintaining confidentiality and professionalism. This role requires strong organizational and communication skills, the ability to manage multiple priorities, and the capability to work independently and as part of a team.</p> <p>Required Skills and Abilities</p> <ol> <li> <p>Exceptional organizational and multitasking skills, with the ability to prioritize and manage competing deadlines in a fast-paced environment.</p> </li><li> <p>Exceptional interpersonal skills to interface directly with faculty, support staff, fellows, residents, medical students, undergraduates, and other individuals.</p> </li><li> <p>Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and familiarity with administrative software and systems.</p> </li><li> <p>Outstanding knowledge of the administrative structure of an academic section within both a medical school and hospital structure and the processes required to navigate this environment.</p> </li><li> <p>Ability to learn new tasks and skill in the ever changing environment of an academic medical center, including possible the integration of AI into some of the daily chores.</p> </li></ol> <p>Preferred Skills and Abilities</p> <ol> <li> <p>Proven experience in overseeing administrative program and office activities, including task coordination.</p> </li><li> <p>Familiarity with higher education or academic settings, including experience with faculty appointments, promotions, and event planning.</p> </li><li> <p>Advanced proficiency with administrative systems such as Workday, Interfolio, and Yale Message.</p> </li><li> <p>Proven experience coordinating international travel and handling complex scheduling arrangements.</p> </li><li> <p>Bachelor's degree and prior experience providing administrative support in a clinical, academic, or research environment.</p> </li></ol> <p>Principal Responsibilities</p> <ol> <li>Oversees and coordinates administrative, program, and office activities. Establishes, selects, implements, and coordinates office procedures and systems. Serves as principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities. 2. Oversees, instructs, and coordinates activities of support staff. Oversees the preparation of materials for grants, contracts and budgets. Monitors expenditures and reconciles financial statements. 3. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 4. Determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences. Assembles and arranges for necessary items. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes reports or portions of reports. 5. Greets visitors. Answers and screens telephone calls. Assesses nature of business. Responds to requests for information and provides assistance. Screens and responds to mail. 6. Formats, keyboard, proofread, and edits correspondence, reports, manuscripts, grants, and other material. Assembles attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures. Composes substantive correspondence and written material. 7. Coordinates travel arrangements. Schedules and coordinates meetings and appointments. Orders and maintains inventory of supplies. Takes minutes or dictation.
