<p>Medical Clinic Supervisor</p> <p>MINIMUM QUALIFICATIONS</p> <ul> <li>High School Diploma or equivalent (copy required upon hire) </li><li>3+ years of medical office experience with supervisory experience </li><li>Proficiency in medical coding and billing, including Medicaid Managed Care and commercial insurance </li><li>Demonstrated experience handling insurance denials and pre-authorizations </li><li>Proficiency in Microsoft Office (Excel, Word), Electronic Health Record systems, and data entry </li><li>Strong communication, customer service, and organizational skills </li><li>Valid NYS Driver's License (copy required upon hire) </li><li>Yearly Physical (required within 1 month of hire) </li><li>Ability to work with a diverse population presenting a variety of cultural, socioeconomic, developmental, and sexual identities. Must be willing to establish and foster healthy and supportive relationships that acknowledge individual identities and encourage personal growth. </li></ul> <p>PREFERRED QUALIFICATIONS</p> <ul> <li>Associate's or Bachelor's Degree in healthcare administration or related field </li><li>Experience in social services or with Article 29-I VFCA Health Facilities </li><li>Familiarity with MillinPro billing software </li><li>Experience reviewing insurance carrier contracts and Medicaid Policy </li></ul> <p>REQUIREMENTS</p> <p>Must successfully complete all required background checks:</p> <ul> <li>NYS Statewide Central Register of Child Abuse and Maltreatment (SCR) </li><li>Multi-State Sex Offender Registry (SOR) </li><li>NYS Division of Criminal Justice Services (DCJS) fingerprinting </li><li>NYS Justice Center Staff Exclusion List (SEL) </li><li>NYS OMIG Medicaid Exclusion List </li><li>Out-of-state child abuse register inquiry of any state in which the person resided within the last five years (if applicable) </li><li>NYS License Event Notification Service (LENS) </li><li>Office of Inspector General (OIG) </li></ul> <p>HOURS</p> <ul> <li>40-hour work week, Monday-Friday, 8:00 AM-5:00 PM </li><li>Must be flexible to meet the needs of the department </li></ul> <p>SALARY</p> <p>Starting at $65,000 - $85,000</p> <p>OBJECTIVES OF POSITION</p> <p>The Medical Clinic Supervisor is responsible for ensuring the efficient, compliant, and collaborative operation of the Agency's Article 29-I Medical Clinic. This role provides administrative leadership and oversight of all clinic business functions, including medical billing, credentialing, contract development, and utilization management. The Supervisor oversees administrative support staff and Medicaid Managed Care coordination, while working closely with clinical personnel to support daily operations and facilitate interdisciplinary collaboration. This position plays a critical role in ensuring that services delivered to youth and families are properly authorized, documented, and reimbursed in alignment with agency policies, fiscal accountability standards, and Article 29-I regulatory requirements.</p> <p>DUTIES AND RESPONSIBILITIES</p> <ul> <li>Maintain a courteous, respectful, and professional demeanor at all times when interacting with residents, internal staff, nursing and medical personnel, external healthcare providers, hospitals, parents, and other professionals involved in the coordination and delivery of resident medical care. </li><li>Supervise and train Medical Clinic support staff and the Medicaid Managed Care Liaison(s). </li><li>Oversee daily clinic operations, including scheduling, administrative workflows, and coordination of services. </li><li>Collaborate closely with the Nursing Supervisor(s) and Medical Director to support integrated and team-based care. </li><li>Maintain and manage contracts with all Medicaid Managed Care Plans (MMCPs); ensure credentialing and authorizations are up to date. </li><li>Serve as the primary point of contact for MMCPs regarding enrollments, disenrollments, transitions, ID card replacements, and benefit coordination. </li><li>Maintain eligibility for public or private health insurance and assist with preparing managed care in-service information for clinical leadership. </li><li>Secure and track prior authorizations for medical and clinical services. </li><li>Resolve billing issues and process claims using MillinPro and Electronic Health Record (EHR); coordinate with the Accounting Department on claims batching, denial resolution, and revenue reconciliation. </li><li>Assist with confidentiality matters, placement transitions, consent issues, and coordination of out-of-network care or court-ordered services. </li><li>Coordinate clinic logistics to ensure that routine, preventative, urgent, and chronic care services align with Article 29-I service requirements. </li><li>Participate in ongoing quality assurance efforts to uphold all agency, OCFS, and Article 29-I standards of care. </li><li>Monitors staff compliance with CPR certification, current professional licenses, and continuing education requirements, ensuring all clinical and administrative staff meet applicable regulatory standards. </li><li>Schedule initial medication training for newly hired staff and ensure six-month refresher trainings are conducted </li><li>Coordinate and promote continuing education and "lunch and learn" opportunities for clinic staff to support professional development and engagement. </li><li>Perform other duties as assigned by the Director of Operations, Nursing Supervisor (s), and Physicians. </li><li>Responsible for adhering to and performing all duties in accordance with every safety standard, practice, and policy of The William George Agency. This includes, but is not limited to, a review of The William George Agency Safety Policy and the attendance of all required safety-related training. </li><li>Adhere to all rules, regulations, policies, and philosophy of The William George Agency, the Office of Children and Family Services, and the Department of Health. </li></ul> <p>DEPARTMENT</p> <p>Medical Clinic</p> <p>POSITION LEVEL</p> <p>Reports directly to the Director of Operations. Receives clinical guidance from the Nursing Supervisor and Medical Director.</p> <p>About The William George Agency for Children's Services</p> <p>The William George Agency for Children's Services is located on a 650-acre campus nine miles northeast of Ithaca, in the Finger Lakes Region of New York State. It is a private, not-for-profit residential treatment center licensed by the New York State Office of Children and Family Services (OCFS) that serves both male and female youth between the ages of 12 and 21, and their families, who present with significant mental health issues, behavioral difficulties, and substance abuse issues.
