<p>Clinic location in Pacific HS</p> <p>Plans, organizes, coordinates, monitors, and participates in administrative and operational activities associated with Pacific High School (San Bernadino) and performs related community relations activities and other related work. Bachelor degree in related field preferred; </li><li>Two years' experience in a healthcare or medical setting required. </li><li>Experience working in underserved communities such as undocumented workers, unaccompanied minors, LGBT populations, communities of color, youth/adolescents, and those experiencing homelessness, substance abuse, and/or mental illness; and </li><li>Able to accurately and efficiently use eClinical Works (eCW) and Electronic Health Record (EHR) </li><li>Able to use date for decision making </li><li>Ability to embrace and manage diversity and build and maintain successful teams </li><li>Familiarity with and ability to use process improvement methodology </li><li>Effectively interact with people and develop positive relationships while being tactful, respectful, and direct in communication </li></ul> <p>Responsibilities:</p> <p>Performs a combination, but not necessarily all, of the following duties:</p> <ul> <li>Plans, organizes, coordinates, and administers the activities of Pacific High School (San Bernardino). </li><li>At the direction of the Associate Director of Clinic Operations, coordinates and maintains liaison relationship and clinic activities with other departments, public and private agencies, organizations and groups. </li><li>Assists the Associate Director of Clinic Operations with the development of informational materials to promote accurate public understanding of clinic activities, services and requirements. </li><li>Assists the Associate Director of Clinic Operations in the development of the program budget. </li><li>Responsible for addressing and resolving patient complaints and grievances at the site. </li><li>Manages clinical operations including but not limited to staffing schedules and patient flow. </li><li>Prepares and manages all documentation and reporting requirements including but not limited to QA reports, performance evaluations, time sheets, and budget variance reports. </li><li>Ensures effective staff utilization to meet staffing and workload requirements and support the delivery of quality patient care and services within budgetary guidelines. </li><li>Attend manager meetings and trainings. </li><li>Develops staffing plans; works with human resources staff to recruit and hire staff; coordinates comprehensive orientation of new staff. </li><li>Establishes accountabilities and performance goals and provides counseling, coaching, feedback, recognition, training, and development to staff. </li><li>Assists with the development and management of the operating budget; maintains fiscal control of assigned hospital cost center. </li><li>Plans, coordinates, direct, and provide patient care orientation and ongoing training to staff. </li><li>Encourage employees to improve skills and abilities and stay abreast of current technologies/practices. </li><li>Exhibits a high degree of courtesy, tact, and poise when interacting with patients, families, and other healthcare professionals. </li><li>Adjusts to fluctuating peaks in patient flow, acuity, and other operational demands while maintaining quality. </li><li>Interprets regulations, and/or policies for employees. </li><li>Coordinate, multiple tasks, and organized clinic objectives. </li><li>Understand and respond to a diverse population. </li><li>Ability to manage priorities and workflow in changing environment. </li><li>Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm. </li><li>Cash management; Supervise all payment plan option, checking donations and cash control established by Finance/Accounting. </li><li>Acute attention to detail. </li><li>Ability to work independently and as a member of various teams and committees. </li><li>Strong interpersonal skills. </li><li>Assist with implementation of PMS and Electronic Health Record (EHR) </li><li>Ability to understand and adhere to established policies, procedures, and protocols. </li><li>Demonstrated proficiency in supervising and motivating subordinates. </li><li>Commitment to excellence and high standards. </li><li>Excellent written and oral communication skills. </li><li>Strong organizational, problem-solving, and analytical skills. </li><li>Good judgment with the ability to make timely and sound decisions. </li><li>Responsible for monitoring and maintaining the physical health of the site, in collaboration with Facilities Manager. </li><li>Creative, flexible, and innovative team player. </li><li>Demonstrated competence in reacting to and handling emergencies. </li><li>Performs other duties as assigned by manager. </li><li>Duties as assigned. </li><li>Training new managers. </li><li>Facilitate efficient and high-quality clinic operations by identifying and resolving problems. </li><li>Supervise inventory, ordering and control of all supplies and equipment needed for clinical operations at the site. Assure that appropriate inventory levels are maintained. </li><li>Facilitate the implementation of new policies and procedures at the site. </li><li>Handle patient complaints and grievance related to Care Coordination. Assist with audits as needed. </li><li>Cash management; Supervise all payment plan option, checking donations and cash control established by Finance/Accounting. </li><li>Assist the Associate Director of Clinic Operations in the following functions: </li><li>Ensure adherence to SJCH policies, procedures, and standards regarding quality improvement, customer service, patient access, productivity, confidentiality, Management of electronic medical records, billing, clinic receipts and deposits, and facility. </li><li>Assist the Associate Director of Clinic Operations in audits and compliance activities; Monitor and ensure the site complies with protocols and procedures, and relevant regulations at the site level, including HIPAA and Title 22. </li><li>Attend meetings, trainings, and other work-related events as needed. </li></ul> <p>Supervision & Training</p> <ul> <li>Schedule and Assign work duties for clinical operations staff at the site. </li><li>Assist with the allocation of personnel resources to assure a smooth workflow and to cover any staffing shortages. </li><li>Provide training for new staff and retrain staff as appropriate. </li><li>Delegate work to others to ensure that operational goals are met. </li><li>Identify problems and seek solutions to improve patients systems. </li><li>Review accuracy of timesheets. </li><li>Provide supervision and support, in collaboration with Clinical Site Lead and other supervisors, to all staff at the assigned site(s) </li><li>Provide direct supervision to Front Desk, Medical Assistants, Benefit Counselors, Dental Assistants, Registered Dental Assistants and Assistant Manager. </li><li>Responsible for evaluation and discipline of staff under scope of supervision. </li><li>Responsible for site specific Vaccines for Children (VFC) and Vaccines for Adults (VFA), including quality assurance, Temperature logs, Inventory, Storage and Handling, Annual recertification, and required annual trainings for Vaccine/Back-up Coordinator. </li><li>Provide guidance and counseling to clinical staff to ensure VFC Requirements are met. </li></ul> <p>Clinical Operations Duties (80%)</p> <ul> <li>Provide direct services as part of the clinical operations staff team, as a regular schedule, during peak periods or when staffing is low, as needed. </li><li>Duties Include: </li><li>Patient Care Coordination </li><li>Front Desk Reception </li><li>Medical Records </li><li>Medical Assistants </li><li>Benefit Counselors </li><li>Assistant Managers </li></ul> <p>St. John's Community Health is an Equal Employment Opportunity Employer</p>
