The candidate's responsibilities include extensive calendar management, reviewing and responding to emails, scheduling meetings, processing expense reports, event planning support, and supporting annual strategy and budget efforts. This candidate will represent this executive leader with both internal and external constituents assuring the highest and best use of time and schedule for the President.</p> <p>Role and Responsibilities</p> <ul> <li>Acts as a trusted partner to senior executives, exercising independent judgment in managing priorities, workflows, and competing demands on executive time. </li><li>Makes discretionary decisions on behalf of executive leadership regarding scheduling, communications, and escalation of issues, without requiring prior approval for routine matters. </li><li>Plans, coordinates, and oversees complex activities including executive calendars, board and committee meetings, leadership travel, and confidential initiatives. </li><li>Prepares, reviews, and analyzes sensitive and confidential materials such as board presentations, executive correspondence, reports, and strategic planning documents. </li><li>Serves as a central liaison between executive leadership and internal/external stakeholders, prioritizing requests and determining appropriate responses and follow-up. </li><li>Anticipates executive needs and proactively resolves issues, recommending solutions aligned with business objectives and organizational priorities. </li><li>Supports high-level business operations and strategic initiatives, requiring an understanding of organizational structure, policies, and leadership goals. </li><li>Handles confidential and proprietary information with discretion and sound judgment, including personnel, financial, and regulatory matters. </li><li>May lead or coordinate cross-functional efforts, special projects, and process improvements with minimal supervision. </li><li>Coordinate heavy calendar schedule, travel and meeting logistics as appropriate in addition to providing necessary materials ahead of time </li><li>Prepare meeting agendas, minutes, and follow-up action items as well as tracking deadlines and key deliverables </li><li>Serve as primary point of contact between the President and internal/external stakeholders </li><li>Handle highly confidential information and exercise sound judgement and discretion </li><li>Maintain secure files and records (physical and digital) in compliance with bank policies </li><li>Work effectively with Client Relations on client facing and leadership planning events </li><li>Work closely with other executives of the leadership team and their respective administrative assistant and maintain strong relationships across all bank departments </li><li>Coordinate schedule and information for business reviews, financial reviews, and performance review process </li><li>Work closely with Human Resources regarding HR related actions and communications </li><li>Demonstrate flexibility in scheduling and prioritizing meetings and deadlines with various constituents </li><li>Coordinate and screen communication (calls and emails) and correspondence regarding client concerns, complaints, and compliments on behalf of the Bank to ensure both timely and professional response </li><li>Occasional travel between Fremont and Livermore Operation Centers to support our Executives </li><li>Miscellaneous duties as assigned </li></ul> <p>Preferred Skills</p> <ul> <li>Experience working with executives, in addition to internal and external customers </li><li>Ability to create executive level presentation materials with graphs/illustrations, and proofread content for accuracy </li><li>Excellent written and verbal communication skills </li><li>High level of professionalism and collaboration </li><li>Ability to juggle multiple priorities with minimal supervision </li><li>Organize tasks and projects to meet timeline requirements </li><li>Patient and very attentive to detail while demonstrating grace under pressure </li><li>Willingness to help and contribute to complete mission critical initiatives </li><li>Ability to learn and apply Fremont Bank's policies, practices, and Six Diamond experience </li><li>Show initiative, anticipate needs and be self-directed </li><li>Ability to use creativity and think outside the box </li><li>Willingness to travel, be flexible and a team player </li></ul> <p>Qualifications and Education Requirements:</p> <ul> <li>Associate degree in business related field or equivalent work experience </li><li>Minimum 5 years of administrative experience supporting senior leadership </li><li>Administrative Certifications preferred </li><li>Experience with Microsoft Suites (Teams, Word, Excel, Outlook, PowerPoint.
