<p>SmartBank Associates enjoy an AMAZING benefits package including:</p> <ul> <li>Comprehensive benefits- medical, dental, vision, life, and disability insurance </li><li>Matching 401(k) </li><li>Generous paid time off (PTO) </li><li>SmartFlex Days </li><li>Up to 11 Paid Company Holidays </li><li>Incentive Program </li><li>Mental Health Benefits Including 8 Free sessions with a coach or certified professional </li><li>Tuition Reimbursement </li><li>Company apparel provided at no cost </li><li>Community involvement opportunities </li></ul> <p>We are looking for associates who are energetic and can deliver on our values every day!</p> <ul> <li>Act with Integrity </li><li>Be Enthusiastic </li><li>Create Positivity </li><li>Demonstrate Accountability </li><li>Embrace Change </li></ul> <p>Your Role as an Account Documentation Manager</p> <p>Your responsibilities will include:</p> <ul> <li>Embodying SmartBank's Core Values and Core Purpose. </li><li>Follow and embrace the SmartBank Way </li><li>Actively participates in departmental meetings. </li><li>Provides excellent customer service to both Bank clients and fellow associates. </li><li>Implements and oversees all aspects of account documentation functions of the Deposit Operations Department for efficient and effective management. </li><li>Ensures that Account Documentation objectives and tasks are completed properly and timely. </li><li>Ensures that file maintenance reviews are completed daily, and that documentation is scanned in a timely manner. </li><li>Ensures that Account Documentation staff is fluent in policies and procedures and in any regulatory requirements. </li><li>Complete review of required IRA Distributions and complete mailings to clients annually or as needed. </li><li>Creates and approves OTEs as needed and ensures the appropriate documentation is maintained accordingly. </li><li>Maintains policies for Risk Management approval as well as the procedures and training for departmental and front-line associates. </li><li>Complete the required State specific escheatment process in a timely manner as applicable. </li><li>Assist with completing dormant procedures on an established timeline but at least annually. </li><li>Supervises the resolution of problems and errors of staff and clients. </li><li>Ensures new accounts are properly reviewed and monitors weekly exceptions with staff and monthly with Deposit Operations Management. </li><li>Works with Branches and Branch Administration on new account document exceptions. </li><li>Enhance exception descriptions to be consistent for the department and branch personnel. </li><li>Ensures required record keeping of documentation is maintained for the department. </li><li>Adheres to all applicable Bank policies and ensures confidential treatment of all Bank and client data. </li><li>Works with Deposit Operations Management Team in implementation of any system or core changes. </li><li>Ensures that any new branches are trained in new account exception review processes. </li><li>Responsible for working with Deposit Operations Management Team in departmental drive consolidation. </li><li>Assists in any audit or regulatory requests and implements any needed changes to policies and procedures as directed. </li><li>Completes tasks assigned in mergers and acquisitions for CDs; IRAs; and FCM documents. </li><li>Completes as assigned any IRS backup withholding notifications, as well as IRS interest reporting corrections. </li><li>Comply with all applicable federal, state, and local banking and industry related laws and regulations including but not limited to the Bank Secrecy Act. </li><li>Create as needed Core Portal Tickets for issues that occur. </li><li>Will manage and process tickets within Fresh Services for all Account Documentation items. </li><li>Will update Fresh Service tickets as needed with IT to support Account Documentation. </li><li>Will manage and support KPI reporting for all Account Documentation activity. </li><li>Will assist with ATM deposit processing. </li><li>Assist with the implementation, preparing and testing Business Resumption Planning endeavors for the Account Documentation area. </li><li>Help support and lead FIS system enhancements as needed for the department. </li><li>Responsible for any Retail Hub and FSR Manual updates and changes. </li><li>Performs other duties as assigned. </li></ul> <p>Qualifications for the Ideal Candidate</p> <p>To excel in this role, you should possess the following qualifications:</p> <ul> <li>High School Diploma or equivalent required; Bachelor's degree preferred. </li><li>Two to five years of related experience in deposit operations. </li><li>Individual Retirement Account (IRAs) experience preferred </li></ul> <p>Training Requirements (licenses, programs, or certifications):</p> <ul> <li>None </li></ul> <p>Knowledge, Skills, & Abilities:</p> <ul> <li>Excellent customer service skills. </li><li>Extensive knowledge of all financial institution policies and procedures. </li><li>Proficient level of computer competency including Microsoft Windows (Word, Excel, Outlook, PowerPoint), typing proficient. </li><li>Knowledge of basic banking accounting. </li><li>Knowledge of error resolutions. </li><li>Ability to apply knowledge and sound judgment in decision-making using established guidelines. </li><li>Associate will rely on independent judgment based on experience with regards to departmental and client matters. </li><li>Strong math skills. </li><li>Strong written and oral communication skills. </li><li>Detail oriented and ability to function in a team environment. </li><li>Demonstrates ability to maintain a positive attitude and a high level of integrity. </li><li>Able to maintain regular and predictable attendance. </li><li>Willing to accept new ideas and methods and be agreeable to change. </li></ul> <p>Work Conditions:</p> <ul> <li>Able to routinely stand, sit, bend, and stoop. </li><li>Regularly required movements of wrists, hands, fingers. </li><li>Average, ordinary, visual acuity necessary to prepare/inspect documentation. </li><li>Physical requirement needed to operate computer, copier, mailer, and encoder. </li><li>May be required to travel for workshops and seminars to adhere to federal regulations. </li><li>Must have flexibility in schedule to assist front line staff when needed and work extra time to complete project deadlines. </li></ul> <p>A career at SmartBank is more than just a job, it is a family where values are upheld and hard work is recognized.
