<p>Title: May Wildlife Rehab Center Office Manager</p> <p>Department: NHS - Wildlife Biology</p> <p>Category: Part-time</p> <p>Summary/Objective</p> <p>Reporting to the Director of the May Wildlife Rehabilitation Center, Nina Fischesser, the May Wildlife Rehab Center Office Manager will serve as a professional contact for the wildlife center. Nina began this program in 1997, then under the name of Blue Ridge Wildlife Institute, out of her home. Her relationship with Lee-McRae began by accepting enrolled students for internships. This continued to grow over the years and some operations moved to the LMC campus proper. In 2012, a purpose-built, on-site wildlife rehabilitation center was built after a generous donation from Dan and Diane May. Crucial additions and a classroom were added later in 2019. Today, the MWRC is a key part of the Wildlife Biology and Pre-Veterinary Medicine programs under the May School of Natural and Health Sciences at Lees-McRae College. Annually, more than 1500 native NC wild animals move through the clinic and provide hands-on clinic-based learning experiences for ~200 LMC students. The MWRC, and the opportunities it provides for students, is wholly unique to Lees-McRae and is a major driver to admissions. Obviously, with many moving parts and pieces, good organization, on all levels, is a must to keep the center running smoothly. This part-time Office Manager position will be a critical piece for this organization.</p> <p>Essential Functions</p> <p>Reception</p> <ul> <li>Serve as a professional first welcome/contact for visitors entering the front door (prospective students, guests, finders with a patient). </li><li>Receive patients, transfer patients to staff/students for admission, and initiate finder paperwork. </li><li>Field incoming phone calls and provide instruction for capture, interim care, transport, and/or when to leave animal alone information (training provided on site). </li><li>Organize and maintain finder and donor paperwork, rehabilitation permits; assist with end-of-year reports. </li><li>Schedule pick-ups and drop-offs of incoming patients (coordinating with transport). </li><li>Receive, organize, and forward monetary donations to appropriate personnel. </li><li>Maintain updated list of rehabilitators, organized by county and species. </li><li>Maintenance of active relationships with surrounding wildlife rehabilitators to promote communication and teamwork and assist with transport. </li><li>Maintenance of external volunteer list, scheduling and communications. </li></ul> <p>Inventory</p> <ul> <li>Act as primary monitor/maintainer of inventory, including office supplies, animal food, husbandry and medical supplies to maximize efficiency and maintain cost-effective procedures. </li><li>Place orders within bounds of set budget, maintain receipts and code expenses monthly purchased on clinic p-card. </li><li>Categorize incoming donations of goods-in-kind, such as medical supplies; maintain financial donation receipts and acknowledgements. </li></ul> <p>Marketing</p> <ul> <li>Maintenance of consistent professional presence on multiple social media platforms. </li><li>Maintain regular communication with LMC marketing team to push MWRC needs to the forefront and help schedule and supply materials for their use in promoting MWRC. </li><li>Maintain regular communications with LMC Advancement team and Financial Services to assist with on-site and digital collection of monetary donations to MWRC. </li></ul> <p>Student guidance</p> <ul> <li>Build and maintain student schedules (rehab students, student mentors, work-study, student part-time/seasonal employees). </li><li>Oversee work-study student(s). </li><li>Help maintain clinic cleanliness, QUIET, and stock and organization of each room. </li><li>Assist with coordination of releases and locations (coordinating with director/DVM); maintain an updated "potential release site" list. </li><li>Help ensure classroom is clean and organized; ensure that students appropriately clean up (facility and ambassadors) after presentations. </li></ul> <p>Maintenance</p> <ul> <li>Assist with scheduling service/ regular maintenance /warranty information of equipment including anesthesia machine, autoclave, washers & dryers, dishwasher, power washer, etc. </li><li>Help maintain organization of storage areas, including two sheds, off-site storage facility, and attic </li><li>Communicate with and schedule needed center maintenance and groundwork with facilities and grounds crews respectively. </li></ul> <p>Competencies</p> <ul> <li>Ethical Conduct. </li><li>Stress Management/Composure. </li><li>Teamwork Orientation. </li><li>Detail-Oriented/Thoroughness. </li><li>Accounting/Book-keeping Experience Preferred. </li></ul> <p>Supervisory Responsibility</p> <p>This position has no supervisory responsibilities.</p> <p>Work Environment</p> <p>MWRC is a lively and busy center. You will be working directly with members of the public, tight-knit staff, and students. Most duties will be performed in a climate-controlled office and hospital environment.</p> <p>Position Type/Expected Hours of Work</p> <p>This is a part-time position. Days and hours of work are Monday through Friday. Some evenings, holidays, and/or weekends might be needed.</p> <p>Travel</p> <p>No travel is expected for this position.</p> <p>Required Qualifications</p> <p>Required Education/Experience/Competencies</p> <ul> <li>Bachelor's degree or equivalent in related field. </li><li>Excellent communication skills. </li><li>Extensive experience and familiarity with Microsoft Suite, especially Teams, Word, and Excel. </li><li>Previous reception/administrative assistant/office managerial experience. </li><li>Accounting or book-keeping experience. </li></ul> <p>Preferred Qualifications</p> <p>Preferred Education and Experience</p> <ul> <li>Experience with wildlife or conservation. </li><li>Experience in related medical or veterinary field. </li><li>Experience with medical record keeping software (RaptorMed or similar). </li></ul> <p>Additional Eligibility Qualifications</p> <p>Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
