<p>We are seeking an exceptionally organized, proactive, and polished Executive Assistant to support the Chief Operating Officer & GM, North America of a leading creative-driven organization. This is a high-visibility, high-impact role requiring a true right hand-someone who can anticipate needs, expertly manage complex schedules, and ensure smooth operations across multiple business divisions. This COO oversees four divisions and manages four separate calendars, so we need a calendar management guru who thrives in a fast-paced environment and can keep a high-level executive fully on track day-to-day. The ideal candidate is detail-oriented, NYC-savvy, resourceful, and experienced in supporting senior leadership within creative, marketing, advertising, or similar industries.</p> <ul> <li>Location: Hybrid - 1-2 days in NYC office / remainder remote </li><li>Compensation: $40-$45/hr (temporary); $100,000 annually if converted to permanent </li><li>Schedule: Full-time </li><li>Type: Temporary with potential to convert to permanent </li></ul> <p>Responsibilities:</p> <p>Executive Support & Calendar Management</p> <ul> <li>Manage and optimize four active calendars across multiple divisions, ensuring all priorities are aligned and the COO stays on schedule </li><li>Coordinate and safeguard time for strategic work, meeting prep, and follow-ups </li><li>Proactively anticipate calendar conflicts and resolve scheduling challenges with speed and diplomacy </li><li>Serve as a gatekeeper for internal and external requests, ensuring seamless time management </li></ul> <p>Client Engagement & Internal Communication</p> <ul> <li>Act as a professional, polished point of contact for clients, partners, and senior stakeholders </li><li>Coordinate client touchpoints, meetings, and follow-up actions </li><li>Maintain a high level of confidentiality, discretion, and professionalism at all times </li><li>Support client-service needs with a deep understanding of the creative industry's communication style and expectations </li></ul> <p>Travel & Logistics</p> <ul> <li>Coordinate domestic and occasional international travel, including flights, hotels, transportation, and restaurant reservations </li><li>Provide detailed itineraries and day-of travel support </li><li>Offer NYC-savvy recommendations for dining, meeting spots, and client events </li></ul> <p>Presentation & Project Support</p> <ul> <li>Create and refine PowerPoint decks for leadership meetings, client presentations, and internal initiatives (PowerPoint proficiency is a must) </li><li>Assist with light project coordination and organization of cross-functional initiatives </li><li>Support the COO with key documents, talking points, follow-ups, and meeting preparation </li></ul> <p>Operational Excellence</p> <ul> <li>Maintain an organized, efficient workflow that allows the COO to focus on high-impact initiatives </li><li>Track action items, deadlines, and priorities across multiple teams and business lines </li><li>Provide proactive reminders and ensure deliverables are met on time </li></ul> <p>Required Qualifications:</p> <ul> <li>5+ years of Executive Assistant experience, supporting C-suite or senior executives </li><li>Exceptional calendar management skills, ideally handling multiple inboxes or divisional calendars </li><li>Strong command of PowerPoint with proven experience building executive-level presentations </li><li>Prior experience in creative, advertising, marketing, media, entertainment, or design industries strongly preferred </li><li>Highly organized, detail-oriented, and capable of managing shifting priorities </li><li>Strong client-facing communication skills; polished, poised, and professional </li><li>Ability to operate with discretion and maintain confidentiality </li><li>NYC knowledge and comfort with high-end dining, hospitality, and client-facing environments </li><li>Tech savvy; proficient in MS Office Suite, virtual meeting tools, and general administrative systems </li></ul> <p>Ideal Candidate Profile</p> <p>You are someone who:</p> <ul> <li>Thrives in a fast-paced, creative environment </li><li>Is a proactive problem solver who anticipates needs before they arise </li><li>Enjoys being the right hand to a senior leader and keeping them focused and organized </li><li>Balances urgency with professionalism </li><li>Has excellent judgment and emotional intelligence </li><li>Loves calendars, structure, and bringing order to complexity </li></ul> <p>If you meet the required qualifications and are interested in this role, please apply today.</p> <p>The Solomon Page Distinction</p> <p>Solomon Page offers a comprehensive benefit program for hourly employees.
