<p>Position Type:</p> <p>Secretarial/Clerical/Administrative Assistant II</p> <p>Date Posted:</p> <p>7/18/2025</p> <p>Location:</p> <p>Center for Education Services</p> <p>Closing Date:</p> <p>07/28/2025</p> <p>  Additional Information: Show/Hide</p> <p>Administrative Assistant II - Board</p> <p>Center for Education Services</p> <p>Grade 7 of the ESP Salary Scale ($20.40 - $36.90)</p> <p>7.5 Hours/Day, 12-Month Work Year</p> <p>Reports to Coordinator Legal Services</p> <p>Employee Benefits Summary</p> <p>Role Overview</p> <p>To complete detailed and written work relating to Board operations and to coordinate other matters essential to the efficiency of the Board and assigned offices.</p> <p>Minimum Requirements</p> <p>High school diploma/GED.</p> <p>Three (3) years of successful administrative support and/or advanced training.</p> <p>Excellent reading, grammar, and punctuation skills.</p> <p>Excellent organizational skills.</p> <p>Accurate typing skills.</p> <p>Effective telephone technique.</p> <p>Demonstrated skills in various software and electronic communication tools, including MS Office Suite (Outlook, Word, Excel, PowerPoint) and Google applications.</p> <p>Experience with managing electronic Board meetings using meeting management software.</p> <p>Maintain confidentiality.</p> <p>Capability of working a highly flexible schedule, including evening meetings and extended days to meet deadlines.</p> <p>Ability to prioritize and manage multiple duties, responsibilities, and assignments as directed by Board members and immediate supervisors.</p> <p>Ability to perform the essential functions of the job with or without reasonable accommodations.</p> <p>Regular and predictable attendance is a requirement of this position.</p> <p>Preferred Qualifications</p> <p>AA degree.</p> <p>Working knowledge of Board of Education policies and procedures.</p> <p>Role Responsibilities</p> <p>Perform administrative duties to include, but not limited to, general business and financial operations, and procurement to maintain efficiency of the Board office.</p> <p>Make arrangements for Board members' attendance at events and conferences and maintain the Board's schedule of events.</p> <p>Make necessary arrangements for all aspects of Board of Education meetings, public hearings, closed sessions, planning sessions, appeal hearings, and any other meetings or sessions of the Board.</p> <p>Keep full and accurate minutes of all meetings of the Board and provide a copy of such minutes to each member of the Board.</p> <p>Assist in the preparation of the Board agenda, setting forth all known items of business to be considered at Board meetings.</p> <p>Use BoardDocs platform to post Board meeting voting records and videos and Board committee agendas and minutes.</p> <p>Publish all legal and public notices on the BoardDocs platform and maintain active Board policies, administrative regulations, and exhibits on BoardDocs.</p> <p>Assist Board members in their executive capacity.</p> <p>Assist in preparation and distribution of materials to Board members.</p> <p>Utilize various software and electronic communication tools, including MS Office Suite (Outlook, Word, Excel, PowerPoint), Google applications, and copying machines to perform job duties.</p> <p>Collect and organize communications and feedback from internal and external stakeholders.</p> <p>Handle correspondence for Board members.</p> <p>Research appropriate meeting and training sites and assist in preparations for meetings and training.</p> <p>Recognize and respond successfully to problem situations; offer alternative solutions.</p> <p>Display effective interpersonal skills and maintain smooth working relations with a variety of people.</p> <p>Always deal with staff and the public in a professional and courteous manner.</p> <p>Assist other departments as requested.</p> <p>Demonstrate courteous and professional demeanor to all stakeholders of Washington County Public Schools.</p> <p>Environmental Factors and Physical/Mental Requirements</p> <p>The Environmental Factors and Physical/Mental demands represent those that an employee must meet to perform the essential functions of this job successfully. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</p> <p>Required prolonged periods of sitting at a desk and working on a computer and other office equipment.</p> <p>Ability to sufficiently and efficiently move throughout the building.</p> <p>Must use sensory skills to effectively communicate and interact with others as normally defined by the ability to see, read, talk, and hear.</p> <p>Ability to maintain emotional control under stress.</p> <p>Ability to move, raise, lower, and carry objects up to 20 lbs. on an irregular basis.</p> <p>Must be able to bend, crouch, stoop, reach, and climb.</p> <p>Will be subjected to loud noises, interactions, and traffic flow associated within a highly populated office environment.</p>
