<p>Essential Duties</p> <ol> <li>Walks through and inspects all department or School buildings. Reports problems and repair needs. Enters and tracks maintenance and repair requests. Plans, executes and/or oversees miscellaneous repairs. 2. Assists with the coordination and prioritization of alterations and renovations projects. 3. Keeps department or School facility equipment, supplies and furniture organized, supplied, stored and recorded in appropriate locations and/or systems. Coordinates room set-up and maintains system of "standard room set-up" for each shared space within the department or School. Maintains Movable Equipment inventory. 4. Coordinates electronic access to department or School buildings. Coordinates maintenance and repair of all department or School safes and electronic locks. 5. Researches products and vendors for, and orders, furniture and equipment. Coordinates with department or School's Information Technology department for the purchase and maintenance of classroom technology. Tracks purchases and assists in budgeting. 6. Serves as a department or School liaison to custodial staff. 7. Maintains department or School key database and physical inventory. Disburses and tracks keys. 8. Serves as department or School vehicle and telephone coordinator. 9. Serves as department or School recycling coordinator for furniture, equipment, paper and trash. 10. Serves as onsite Quality Food Operators Certificate holder for department. Conducts spot health and sanitations inspections of food facilities, reporting conditions to Permittee. 11. Assists with the management of rentals of non-production department or School facilities. 12. Serves as department or School mailroom coordinator. 13. May perform other duties as assigned. </li></ol> <p>Required Education and Experience</p> <p>Six years of related work experience, four of them in the same job family at the next lower level, and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.</p> <p>Background Check Requirements</p> <p>All candidates for employment will be subject to pre-employment background screening for this position, which may include motor vehicle, DOT certification, drug testing and credit checks based on the position description and job requirements. For additional information on the background check requirements and process visit "Learn about background checks" under the Applicant Support Resources section of Careers on the It's Your Yale website.</p> <p>Position Focus:</p> <p>Reporting to the Administrative Services Supervisor and Facilities Manager, and working closely with the Operations Manager, the Facilities Coordinator serves as a key member of the Molecular Biophysics & Biochemistry (MB&B) and Molecular, Cellular & Developmental Biology (MCDB) Business Office teams. This role provides high-level support across facilities, administrative, and operational functions for both business offices and the broader department community.</p> <p>The Facilities Coordinator supports the Facilities Manager by overseeing day-to-day building maintenance, repair, and renovation requests from faculty and staff. This includes:</p> <p>Serving as a primary point of contact for facilities-related inquiries.</p> <p>Tracking project timelines and managing related documentation.</p> <p>Maintaining moveable equipment inventory (MEI) and space inventory across five campus buildings.</p> <p>Handling key requests and managing Morse Watchman Access.</p> <p>The Facilities Coordinator will also:</p> <p>Act as a liaison with faculty, university offices (EHS, TR&S, etc.), contractors, and vendors to facilitate maintenance and project execution.</p> <p>Coordinate annual maintenance agreements for departmental equipment, including Biological Safety Cabinet certifications.</p> <p>Assist with lab renovation planning, including procurement, scheduling, and the installation of equipment and furnishings.</p> <p>Please note, the detailed responsibilities in this Position Focus are specific and most relevant to the role. Additional duties may be assigned as needed. Based on operational needs, there might be changes to our current hybrid work schedule.
